The Role.
The Accounting & Administrative Coordinator plays a key role in supporting our finance and operations teams. This individual will handle day-to-day accounting tasks (A/R, A/P, collections), respond to customer inquiries, manage the general accounting inbox, lead collections and support credit evaluations. Additionally, they will perform general office administrative tasks such as answering phones, checking incoming mail, and assisting with projects and ad hoc tasks from the Financial Controller. The anticipated start date for this position is August 4, 2026. This temporary full-time contract is expected to run for approximately 12 months as leave coverage.
Key Responsibilities:
Accounting & Finance:
- Process accounts receivable (invoicing, customer payments, bank runs) and proactively reach out to customers with overdue balances in a professional manner.
- Process accounts payable (vendor invoices, payment runs).
- Support customers calling the accounting phone line to address billing inquiries.
- Monitor the general accounting email inbox and respond or redirect as needed.
- Perform basic account reconciliations and data entry in accounting systems.
- Support the month-end closing process with documentation and reporting as required.
Administrative Duties:
- Answer and direct incoming phone calls from the main accounting line professionally.
- Reach out to and evaluate trade references for credit worthiness for new customers.
- Review daily incoming mail to relevant departments.
- Maintain customer and vendor records in the ERP system.
- Provide support for administrative and HR tasks, including hiring and onboarding.
Requirements.
- 1–3 years of experience in an accounting or administrative support role.
- Degree or diploma in accounting, business, administration, or related.
- Basic understanding of A/R and A/P processes.
- Strong attention to detail and organizational skills.
- Excellent communication skills (verbal and written).
- Proficient in Microsoft Office (Excel, Outlook, Word).
- Experience with accounting software (e.g., Business Central, NetSuite) is an asset.
- Comfortable speaking with customers and vendors.
- Ability to speak French is an asset but not required.

Pay: $55,000.00-$65,000.00 per year
