27 Week Client Services Position

Are you interested in a unique and rewarding experience? The Kamloops Food Bank is seeking an energetic, responsible, and personable individual. This position is a full-time 27-week employment grant that requires proof of Indigenous status and begins immediately.
The successful applicant will be responsible for assisting the client services team and helping with other perishable warehouse duties when needed.

Position summary:
We are looking for a dynamic and qualified individual to be the welcoming face of our organization. The right candidate will be outgoing, professional and have the ability to step into a variety of roles as needed. The Client Services employee welcomes a diverse group of clients and records their visits along with relevant data prior to them accessing perishable and non-perishable food items.
Key responsibilities:
Client interaction:
- Ensure client service area is set up and closed each day
- Greet and assist clients in a friendly and respectful manner, ensuring a positive and welcoming environment
- Conduct intake interviews with new clients to collect data and input into Link2feed
- Provide information about hours of operation, dates and times they are eligible to receive food
- Address client inquiries, concerns and complaints promptly and professionally
- Deescalate aggressive behaviour to maintain a safe and respectful environment
Client database management:
- Maintain client databases, ensuring accurate and up-to-date information for all clients
- Oversee the tracking and recording of food distribution data to maintain accurate records
Distribution operations:
- Coordinate the efficient and organized distribution of food to clients, ensuring fair and equitable access to resources
- Collaborate with volunteers to set up distribution areas, manage client flow and maintain order during distribution hours
- Monitor inventory levels and ensure an adequate supply of food items for daily distribution
- Ensuring baby bank is fully stocked and reporting low quantities of baby items to warehouse manager
Quality assurance and compliance:
- Ensure compliance with food safety regulations, health and safety standards, and relevant policies
- Conduct periodic audits of distribution processes to identify areas for improvement and implement corrective actions
- Communicate all food recalls with clients, staff and volunteers
- Ensure any recalled products identified are removed from distribution and are tracked for recall reporting
Staff and volunteer relations:
- Work closely with client service staff and volunteers to ensure smooth operations during distribution and other client service activities
- Provide guidance to staff and volunteers regarding fair and efficient distribution of food on hand
- Assist staff and volunteers with lifting bins and restocking stations
- Monitor staff, volunteer and client interactions to ensure safe and respectful behaviour
Collaboration and communication:
- Collaborate with other departments and team members daily regarding food levels and assess the approach regarding food distribution
- Report any aggressive behaviour by staff, volunteers, or clients to Warehouse Manager
- Keep detailed notes on client files regarding any concerns or follow-ups
- Maintain open and clear communication with clients, staff, volunteers and external partners
- Participate in regular team meetings and contribute ideas for improving client services and overall operations
- Stay informed about industry best practices and trends in client services and food safety
Qualifications:
- Applicants must be of Indigenous ancestry in order to qualify for the role
- Strong interpersonal and communication skills, with the ability to interact effectively with diverse clients and stakeholders
- Excellent organizational and multitasking abilities to manage high client volume
- Proficiency in using computer software and databases for data entry and reporting
- Ability to work flexible hours, including weekends and evenings
