Job Description
The Client Services Associate is an entry-level role responsible for supporting day-to-day client service delivery through accurate data entry, administrative coordination, and responsive client support. This position plays a key role in ensuring client information is processed efficiently and service teams are supported across legal, accounting, and insurance functions.
The ideal candidate is detail-oriented, organized, and comfortable interacting with clients while managing administrative and information-processing tasks in a fast-paced, multi-service environment.
Key Responsibilities
Client Service Support
- Serve as an initial point of contact for client inquiries (phone, email, in-person where applicable)
- Assist clients with basic service information and direct requests to appropriate team members
- Support client intake processes and documentation collection
- Maintain professionalism and confidentiality in all client interactions
- Escalate complex issues or concerns appropriately
- Track, document, and follow up on client questions, concerns, or service issues to ensure timely resolution
- Maintain logs or system records of client interactions, complaints, and outcomes in accordance with company procedures
· Coordinate internally with service teams to monitor progress and communicate status updates to clients when required
Data Entry & Information Management
- Enter and update client data accurately across internal systems/CRM platforms
- Maintain digital and physical client records
- Process intake forms, service documentation, and file updates
- Perform quality checks to ensure accuracy and completeness of data
- Assist with file opening/closing and record archiving
Administrative Support
- Support scheduling, document preparation, and internal coordination
- Assist service teams with routine administrative requests
- Prepare standard correspondence and templates
- Monitor shared inboxes or workflow queues (if applicable)
- Contribute to maintaining organized workflows and documentation
Operational Support
- Follow established procedures and service standards
- Identify process inefficiencies or data inconsistencies and report them
- Support cross-functional teams during peak demand periods
- Participate in training and process improvement initiatives
Qualifications
Education & Experience
- Post-secondary education preferred (or equivalent experience)
- Basic Microsoft Word and Excel required
- Strong computer and technical skills
- Previous customer service, administrative, or data entry experience considered an asset
- Must travel to the Toronto location at least once a week to support in-person collaboration with the team
- Experience in professional services environments is beneficial but not required
- Personal phone required
