Job Description: Sepia Films is seeking a detail-oriented and organized individual to join
our team as an Executive Assistant and Office Administrator. In this role, you will provide high-level administrative support to our principal Producers and ensure smooth operation of our office. We’re looking for an individual who is a self-starter, who can work independently, a great multi-tasker and someone who can be flexible and prioritize
effectively. Ideally the candidate has previous office experience or experience in an
executive assistant role. An interest or background in film and television is a plus!
Responsibilities:
- Manage executive calendars, schedule meetings, and coordinate appointments.
- Oversee day-to-day office operations, including office supplies, equipment, vendor relationships, and account management.
- Handle incoming and outgoing mail, courier services, and package distribution.
- Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and travel itineraries.
- Maintain and organize electronic and physical filing systems to ensure accurate recordkeeping and efficient document retrieval.
- Provide support for special projects and assist with executive and personal tasks as required.
- Serve as the primary office contact, providing front-end administrative assistance for film and television productions.
- Coordinate film festival submissions, maintain submission calendars, and track application deadlines and deliverables.
- Perform routine website updates.
- Assist with publicity and marketing campaigns for film and television productions, including promotional initiatives and marketing materials.
Qualifications:
- Proven experience as an executive assistant or office administrator
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Proficiency in MS Office (Word, Excel, Powerpoint)
- Ability to multitask and prioritize tasks effectively
- Discretion and confidentiality in handling sensitive information
