Title/ Position: Executive Assistant / Office Coordinator
Reports to: Chief Business Officer
Contract Term: Full Time/Permanent
Start Date: Immediate
Compensation: $50,000 - $70,000, commensurate with experience and qualifications, with benefits after 3-month probationary period.
Location: Vancouver head office, in Gastown, 3 to 4 days per week; post-production facility, E 6 Ave and Clarke Drive, 1-2 days per week.
Position Summary: Omnifilm Entertainment is looking for an Executive Assistant and Office Manager that can provide effective and courteous organizational support to various departments, clients and team members. This position requires a highly organized, strong communicator who can handle logistics on behalf of multiple teams in a dynamic environment.
About You: You are highly organized, self-motivated, proactive and able to work effectively alone and within a team in a respectful, fast-paced and deadline-oriented environment. You are committed to providing effective and courteous organization and support services to various departments, clients and employees. You can manage and prioritize direction from multiple managers, communicate effectively and are proactive in finding ways to maintain clean, efficient workplaces. You are proficient in MS Office Suite and familiar with Adobe Suite.
About the Job: You will work with executives and senior managers of various departments to assist with scheduling meetings, task management, booking conferences and travel, and coordinating and communicating between various departments. You will also provide general office coordination and support for two locations.
Core Responsibilities Include:
Executive Assistant:
- Scheduling meetings for multiple executives and senior directors
- Participating in weekly internal meetings (+ note taking)
- Scheduling and booking conferences
- Booking transportation and accommodation for business travel
Office Coordination / Administration:
- In office (Corporate and Post) Monday to Friday (coordinate deliveries, recycling/waste pickup, buzzing people into building)
- Keeping kitchen supplies stocked (food/cleaning)
- Liaising with location landlords and external for maintenance requests
- Planning and booking staff events
- Helping post job listings and coordinate applicant’s submissions and interviews
- Coordinating with IT provider for IT requests and issues
- Collecting and submitting receipts for multiple corporate credit cards
- Archiving – sorting through documents and digitizing, organizing off site lockers
- Fulfilling online orders via Shopify and Vimeo accounts
- Additional duties as assigned
