Responsibilities
- Greet patients and clients warmly, ensuring a positive first impression and smooth check-in process
- Manage appointment scheduling using practice management software such as Dentrix or similar systems
- Coordinate patient flow between clinical staff and administrative functions to optimize daily operations
- Handle billing, insurance claims, and payments accurately while maintaining confidentiality
- Maintain electronic medical records with precision, ensuring all documentation complies with healthcare regulations
- Support human resources activities including onboarding new staff, tracking certifications, and managing staff schedules
- Assist with budgeting tasks by monitoring office supplies, expenses, and resource allocation
- Supervise administrative team members when applicable, providing guidance to ensure high-quality service delivery
- Collaborate with medical professionals to ensure compliance with medical terminology standards and hospital protocols
- Prepare reports on office performance metrics and assist in process improvements for efficiency
Requirements
- Proven experience working in a dental or medical office environment with familiarity using Dentrix or comparable practice management software
- Strong knowledge of medical terminology, electronic medical records (EMRs), and healthcare compliance standards
- Previous supervisory experience in an administrative setting is highly desirable
- Experience in human resources functions such as staff onboarding, scheduling, and certification tracking
- Background in hospital or acute care settings is a plus, demonstrating adaptability to fast-paced healthcare environments
- Knowledge of budgeting principles related to healthcare practices and office supplies management
- Excellent communication skills to interact effectively with patients, staff, and external partners
- Ability to multitask efficiently while maintaining attention to detail in a busy medical office setting
