We're looking for an exceptional Business Coordinator to become the communication and organizational hub of our company.
Job Overview
As our Business Coordinator, you'll play a key role in keeping our projects moving from estimate approval through to final delivery and installation. You'll be the connection between our customers, suppliers, the office, and our production team—ensuring everyone has the information they need and every detail is accounted for.
No two days are the same. One moment you'll be preparing a quote, the next you'll be scheduling production, checking in fabric, coordinating a delivery, answering customer questions, or creating a work order for the shop.

Responsibilities
- Prepare customer estimates and quotations.
- Create detailed work orders, ensuring all specifications are accurate before production begins.
- Review work orders with customers and obtain final approvals.
- Respond to customer inquiries by phone and email.
- Provide project updates and manage customer expectations throughout production.
- Coordinate production schedules and support the shop team with job-specific information.
- Schedule site measures, deliveries, and installations.
- Create invoices and maintain accurate project documentation.
- Order project-specific materials to ensure jobs stay on schedule.
- Monitor inventory levels and reorder production materials as needed.
- Receive and check in incoming fabrics and materials, ensuring quantities and specifications are correct.
- Maintain accurate project information across multiple systems.
- Communicate with customers, suppliers, and team members to keep projects moving efficiently.
- Identify opportunities to improve processes and workflows.
- Assist with testing and implementing AI tools and new technology to improve efficiency.

The following experience would be considered an asset:
- Administrative, business coordination, operations, or project coordination experience.
- Project management experience.
- Customer service experience.
- Estimating or quoting.
- Work order creation and management.
- Scheduling and logistics coordination.
- Purchasing and inventory management.
- Experience with QuickBooks, CRM software, or project management software.
- Experience in manufacturing, furniture, construction, interior design, or a production environment.
