Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. This role is essential in supporting daily administrative operations, ensuring smooth office functions, and providing excellent customer service. The ideal candidate will have strong computer skills, familiarity with office management software, and the ability to handle multiple tasks efficiently in a professional environment. Experience in medical or dental offices is a plus, but not required. This position offers an opportunity to develop administrative expertise within a dynamic workplace.
Responsibilities
- Manage front desk duties including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as needed
- Maintain organized filing systems both electronically and physically, ensuring easy retrieval of documents
- Assist with scheduling appointments and managing calendars for staff or medical/dental offices
- Support bookkeeping and basic bookkeeping tasks such as invoicing and record keeping
- Provide customer support by addressing inquiries promptly and effectively via phone or email
- Proofread documents for accuracy and clarity before distribution
- Handle administrative tasks such as photocopying, faxing, mailing, and document preparation
- Support medical or dental office operations by managing patient records, verifying insurance information, and assisting with patient check-in/out processes if applicable
Qualifications
- Prior office experience preferred; experience in medical or dental offices is advantageous
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with QuickBooks or other bookkeeping software is a plus
- Strong computer skills with the ability to perform data entry accurately and efficiently
- Excellent organizational skills with attention to detail
- Good phone etiquette and customer service skills for front desk interactions
- Ability to handle multi-line phone systems professionally and courteously
- Clerical experience including filing, proofreading, and document management
- Strong typing skills with a focus on accuracy and speed
- Ability to work independently with minimal supervision while managing multiple priorities effectively
