Job Summary
As the Part Time Administrative Co-Ordinator, you will be responsible for providing receptionist services to the management team at the community, including residents. You will greet residents, visitors, and the public, receive and redirect external calls and sales calls, operate, and maintain all office equipment, establish, and maintain resident services, respond to resident inquiries, perform basic accounting functions, and provide assistance as required. Being the first impression champion of the residence is a key to success in this role.
Duties
· Manage all incoming calls and direct to appropriate person.
· Manage the front desk, keep the area clean and organized to ensure that we have great brand presence and a great first impression.
· Ensure that all information is collected for sales inquiry calls and relayed to Sales and Marketing director. If Sales director is not available, ensure you document all details of the prospects and direct them to another manager.
· Assist the Management team with communications and other office tasks as required.
· Maintain and operate all office equipment (Printers/Shredders/Fax/etc.)
· Be the face to the residence and greet and welcome all visitors and residents.
· Fire safety and response.
· Assist with resident issues and concerns.
· Ensure memos and communications are posted and managed as required.
· Assist with emails and communications from families as well as online inquiries or emails.
Skills
· Previous experience in an office environment
· Ability to work independently or in a team environment and must be able to work without direct supervision.
· Very strong organizational skills and abilities to multitask.
· Understand how to prioritize your day.
· Flexibility to workdays, evenings, and weekends
· Excellent communication and interpersonal skills
· Demonstrated ability in dealing with the public, using tact and discretion
Scheduled hours will vary but will be Monday - Sunday, various shifts:
8:30am-4:30pm
4:30pm-8:30pm
