Manager – Tompkins and Heels Monuments
Position Summary
The Manager is responsible for overseeing the day-to-day operations of the Tompkins and Heels Monuments office. This role combines sales, customer service, office administration, accounting, inventory management, and facility maintenance. The successful candidate will be highly organized, self-motivated, able to work independently, and committed to providing exceptional customer service to families during an important time in their lives.
Key Responsibilities
Sales & Customer Service
- Assist customers in person, by telephone, and via email.
- Meet with walk-in clients to discuss monument, marker, and memorial options.
- Prepare quotations and guide customers through the purchasing process.
- Produce monument layouts and proofs for customer approval.
- Follow up on quotations and pending approvals.
- Maintain a professional and compassionate approach with all customers.
Office Administration
- Enter new orders and customer information into Excel and company records.
- Order foundations and prepare staking orders for Tompkins & Heels Monuments and Monument Restoration.
- Order bronze markers.
- Invoice customers and maintain accurate customer records.
- Purchase office supplies and maintain office inventory.
Inventory Management
- Monitor and maintain showroom and yard inventory.
- Order stock as required to meet customer demand.
- Conduct regular inventory checks and maintain accurate records.
Referral Program Administration
- Maintain referral records.
- Prepare and issue referral payments to approved referral partners.
- Ensure referral payments are accurate and completed in a timely manner.
Property & Facility Maintenance
- Maintain a clean, organized, and welcoming office environment.
- Perform general building and property upkeep.
- Cut grass, trim landscaping, and maintain the exterior appearance of the property.
- Coordinate repairs and maintenance when required.
Qualifications
- Previous experience in sales, office management, or administration.
- Strong customer service and communication skills.
- Excellent organizational and time management abilities.
- Ability to work independently and prioritize multiple tasks.
- Proficiency with Microsoft Excel, Outlook, and general computer applications.
- Experience with bookkeeping, accounts payable/receivable, and financial reconciliations is an asset.
