Job Summary:
Infinity Wealth Solutions Inc is seeking a highly detail-oriented, process-driven Administrative Support & Forms Processing Associate to support our insurance, investment, and client onboarding operations.
This role is ideal for someone who excels at reading, understanding, and accurately completing complex forms, coordinating with life insurance carriers, MGAs, and brokerage back offices, and ensuring error-free submissions—while maintaining a high-level, bird’s-eye view of ongoing files, sales activity, and workflow priorities.
You will play a critical role in protecting accuracy, compliance, and client experience, while supporting sales momentum and internal coordination.
Key Responsibilities:
Forms & Documentation (Core Responsibility)
- Accurately review, complete, process accounting/tax and onboarding forms
- Carefully read and interpret form requirements, disclosures, and carrier-specific rules
- Coordinate with insurance companies, MGAs, and brokerage back offices to resolve deficiencies, corrections, and follow-ups
- Ensure all paperwork is complete, compliant, and submitted on time
- Track outstanding documents, amendments, and pending requirements
Client Communication & Support:
- Communicate with clients via phone, email, and in person to collect information and explain documentation requirements
- Follow up with clients to ensure timely completion of forms and missing items
- Maintain professional, clear, and client-focused communication at all times
Sales & Workflow Coordination:
- Support sales processes by keeping applications moving smoothly from submission to completion
- Maintain awareness of active files, sales stages, and priorities
- Assist advisors and internal teams by providing updates and next-step tracking
- Balance detail-level execution with a high-level view of multiple files in progress
Process Improvement & Team Collaboration:
- Identify opportunities to improve documentation flow, client experience, and internal processes
- Collaborate closely with advisors, administrators, and management
- Adapt quickly to changing carrier rules, compliance requirements, and deadlines

Qualifications & Skills:
- Experience in administration, travel insurance, financial services, or form-heavy roles preferred
- Strong verbal and written communication skills
- High comfort level with CRM systems, digital tools, and document management
- Experience coordinating with insurance carriers, MGAs, or brokerage back offices is an asset
- Strong organizational and time-management skills
