The Claude AI Project Coordinator supports the planning, execution, and delivery of projects involving Claude-based AI solutions. We are seeking a systems thinker who treats Claude as core infrastructure. You will design, govern, and operate multi-role Claude environments that execute production scheduling, inventory control, and S&OP workflows alongside human planners.
Key Responsibilities
- Coordinate day-to-day project activities for Claude AI implementation or integration projects
- Environment Architecture: Must design multi-role Claude environments with clear separation (e.g., Founder/Product AI vs. Execution/Staff AI) and strict authority boundaries .
- System Prompt Engineering: Need to write long-form, production-level instructions that encode business logic, decision boundaries, and escalation rules
- Tool Integration & APIs: Working knowledge of APIs to connect Claude with SaaS platforms (e.g., HubSpot, Asana, Slack) and experience with MCP (Model Context Protocol) connectors .
- Governance & Risk Control: Responsible for preventing "prompt drift," managing usage limits, and establishing controls to prevent IP leakage .
- Data Analysis & Process Mapping: Ability to analyze business data to identify automation bottlenecks and translate needs into clear AI requirements
- Deep AI Fluency: You need to use Claude extensively as "core infrastructure"—not just for novelty, but for actual workflow .
- Strong Product Mindset: Ability to navigate ambiguity and define roadmaps in a rapidly changing AI landscape .
- Cross-Functional Leadership: Comfortable translating priorities between engineering, product, and marketing teams .
- Developer Empathy: You should be a builder yourself, capable of understanding API integrations and developer pain points
- Assist in developing project plans, schedules, and documentation
- Track project progress, milestones, and deliverables using project management tools
- Facilitate communication between cross-functional teams (developers, analysts, stakeholders)
- Organize and document meetings, including agendas, minutes, and action items
- Identify risks and issues, and escalate as needed
- Support testing, deployment, and post-implementation activities
- Maintain project documentation in compliance with Ontario workplace and data standards
- Assist with vendor coordination and procurement processes if applicable
Qualifications
- Diploma or degree in Business Administration, Project Management, IT, or related field
- 1–3 years of experience in project coordination or administration
- Familiarity with AI tools or platforms such as Claude AI is an asset
- CPIM certification (active) from ASCM/APICS
- Portfolio or case study showing a multi-role LLM environment with explicit authority boundaries (not just single chat threads)
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
Preferred Skills
- Experience supporting AI, data, or software implementation projects
- Understanding of privacy regulations in Ontario
- Ability to work in fast-paced, cross-functional environments
- Strong problem-solving and attention to detail
Job Types: Full-time, Permanent
