ORGANIZATION OVERVIEW
Tikva Housing Society (“THS”) is a charitable non-profit housing society that provides access to innovative and affordable housing solutions, primarily for Jewish individuals and families. Tikva Rental Housing Society (“TRHS”) is a non-profit housing society that acquires, constructs, holds, supplies, and operates/manages and/or maintains housing accommodations and incidental facilities for low- and moderate-income families and individuals. THS and TRHS shall collectively be known as “the Society”.
PURPOSE
The Communications, Fundraising & Administrative Coordinator provides hands-on support for communications, fundraising, and stakeholder engagement activities, while also providing administrative support across departments. This is a full-time permanent position.
DUTIES AND RESPONSIBILITIES
Communications
- Draft, edit, and format approved content for emails, website updates, and social media.
- Coordinate the production and distribution of newsletters, announcements, and updates across digital channels.
- Support basic design and layout tasks using tools such as Canva or similar platforms.
- Maintain and track content calendars.
- Maintain organized digital filing systems for communications assets.
- Schedule meetings and track action items as needed.
Fundraising & Donor Relations
- Coordinate mailings, email campaigns, and donor acknowledgements.
- Assist with the preparation of donor communications, appeal materials, and other stewardship activities.
- Assist with grant and proposal preparation (research, formatting, tracking deadlines).
- Update and maintain accurate records in the donor CRM.
- Support logistics for Tikva’s Annual Fundraising Campaign and other donor-engagement activities.
General Administration
Frontline Communication & Reception
- Serve as a first point of contact for general inquiries (phone, email, in-person, mail).
- Direct inquiries to appropriate staff and ensure timely follow-up. Greet visitors and support coordination of client or stakeholder visits.
- Maintain a professional and welcoming front-facing presence for the organization.
Office Operations & Coordination
- Coordinate day-to-day office operations, including supplies, equipment, meeting spaces, and general office organization.
- Set up and prepare meeting spaces and ensure general office tidiness by maintaining a clean, orderly, and professional workspace.
- Support the planning and logistics of meetings, events, and organizational activities. Serve as a point of coordination for internal administrative needs across departments.
Administrative Support Across Departments
- Assist with onboarding logistics for new staff, including workspace setup and materials.
- Support the preparation and organization of internal documents, reports, and materials.
- Respond to general administrative inquiries and direct requests appropriately.
Information & Documents
- Upload, organize, and maintain files within SharePoint and other document management systems.
- Ensure confidential documents are properly stored, labeled, and accessible to relevant staff.
- Maintain both electronic and physical records in an organized and consistent manner.
- Support version control and document accuracy across administrative materials.
QUALIFICATIONS
- 2 – 4 years of experience in a communications, fundraising, or administrative support role.
- A Bachelor's degree in Communications, Marketing, English, Journalism or equivalent experience.
KNOWLEDGE AND SKILLS
- Strong written communication skills with attention to detail.
- Excellent organizational and time-management abilities.
- Experience with social media and digital publishing.
- Comfortable working with multiple deadlines and shifting priorities.
- Experience with Microsoft 365, CRM systems and email marketing platforms is an asset.
- Familiarity with non-profit or community-based work is an asset.
- Knowledge of the Jewish community is an asset.
WORK ENVIRONMENT
This role is based in the Tikva office and requires multitasking in a fast-paced environment.
Physical: Primarily seated at a desk in the office.
Mental: Attention to detail, moderate periods of concentration.
Psychological: Engages in difficult conversations, with superior conflict resolution skills.
Environment: Largely indoor work.
Pay: $55,000.00-$63,000.00 per year
