Position Summary
UTG – a trusted service provider supporting Enercare Home Services, is seeking an HVAC Operations & Logistics Coordinator to join our Woodbridge team. We are looking for a highly organized and detail-oriented individual to support the day-to-day coordination of purchasing, inventory, receiving, and warehouse activities.
This role combines administrative responsibilities with hands-on warehouse support to help maintain inventory accuracy, process incoming shipments, coordinate materials for technicians, and ensure equipment and parts are available to support our HVAC service and installation operations. The successful candidate will play an important role in keeping our warehouse organized, supporting field teams, and maintaining accurate inventory records in a fast-paced environment.
Key Responsibilities
- Coordinate purchasing activities for parts, materials, tanks, accessories, and HVAC equipment in coordination with the District Performance Leader
- Receive, inspect, verify, and reconcile incoming inventory and equipment
- Monitor inventory levels and proactively replenish stock to support service and installation demands
- Investigate and resolve inventory discrepancies, shortages, backorders, and delivery issues
- Coordinate equipment staging and allocation for technicians and installation crews
- Support logistics activities, including deliveries, transfers, returns, and vendor pickups
- Maintain accurate inventory records, asset tracking, and system updates
- Assist in forecasting inventory requirements based on seasonal business demands
- Collaborate with Operations, Sales, Planning, and Field Leadership teams to optimize workflows
- Support inventory audits and continuous improvement initiatives
- Maintain a safe, organized, and efficient warehouse environment
- Act as a key resource for technicians requiring material, inventory, or equipment support
Qualifications
- High School Diploma required; College or Post-Secondary education (preferred)
- Minimum 2 years of experience in logistics, purchasing, inventory control, warehouse operations, or supply chain coordination (preferred)
- HVAC, construction, mechanical, plumbing, or building services industry experience is considered a strong asset
- Strong organizational and multitasking abilities
- Excellent communication and relationship-building skills
- Ability to work independently and make informed decisions
- Strong attention to detail and commitment to accuracy
- Proficiency with Microsoft Office, particularly Excel and Outlook
- Experience with inventory management or ERP systems is an asset; experience using SPIRE is considered a strong asset
- Demonstrates initiative, accountability, and problem-solving skills

Working Conditions
- Ability to lift up to 25 kg (55 lbs) when assisting with material staging, equipment handling, and inventory activities
- Comfortable working in a warehouse and operations environment
- Occasional overtime may be required during peak seasons and weather-related events
- Must be flexible to work weekends on a rotational basis based on business and operational needs
Additional Requirements
- Valid G2 or G Driver's License
- Reliable transportation to Woodbridge, ON
- Successful completion of a Criminal Background Check and Driver's Abstract
