We are hiring a Receptionist / Administrative Assistant & Junior Bookkeeper to support our expanding team. The role is roughly 60% reception and administrative support and 40% bookkeeping support.
The Role
This is a good fit for someone organized, tech-savvy, and comfortable moving between front-desk work and bookkeeping. You will handle reception duties, support client communication, keep our documents and workflow systems in order, and help the accounting team with day-to-day bookkeeping tasks.
Reception & Administrative Support
- Greet clients and manage front-desk duties, including phone, email, and walk-ins.
- Respond to general inquiries professionally and direct them to the right team member.
- Help clients upload documents to our secure portals (ShareFile, PandaDoc).
- Scan, organize, and name client documents accurately.
- Manage mail, CRA correspondence, filing systems, and general office organization.
- Prepare and send engagement letters and follow up for signatures.
- Schedule appointments, maintain calendars, and track key deadlines.
- Support tax-season workflows by gathering documents and preparing files.
- Enter and update client information in our CRM and project-management systems.
- Assist with new-client onboarding and internal process checklists.
Bookkeeping Support
- Data entry in QuickBooks Online and QuickBooks Desktop.
- Perform bank reconciliations and verify supporting documents.
- Prepare payables lists and coordinate bill-pay approvals.
- Help organize receipts, invoices, and bookkeeping records.
- Support the bookkeeping team with monthly and quarterly tasks as needed.
Education & Experience
- 1 to 2 years of administrative or reception experience (accounting or legal office experience is an asset).
- Some bookkeeping experience or training is required (QuickBooks Online preferred).
- Post-secondary education in business administration, accounting, or a related field is an asset.
- Experience managing projects and workflow in a business setting is an asset.
