Position Overview:
We are seeking a detail-oriented Document Fulfillment Specialist to join our high-performing mortgage team. This full-time role offers an opportunity for professional growth within a dynamic and fast-paced environment. The successful candidate will play a crucial role in ensuring a seamless mortgage experience for our clients from approval to funding while maintaining the highest standard of service.
Key Responsibilities:
- Documentation Management – Collect and manage mortgage documents, ensuring all lender conditions are met.
- Client & Partner Communication – Maintain clear, professional communication with clients, lenders, and referral partners, providing timely updates and addressing inquiries.
- Process & Timeline Management – Oversee multiple client files simultaneously, ensuring all deadlines are met.
- Compliance & Data Entry – Maintain accurate records in databases and ensure all files comply with regulatory requirements.
- Collaboration – Work closely with mortgage originators, underwriters, and fulfillment teams to facilitate smooth mortgage funding.
- Additional Responsibilities – Ordering appraisals, liaising with lawyers and service providers, preparing signing packages, post-closing administration, and managing compliance documentation.
Must-Have Qualifications:
- Proven ability to manage fast-paced environments and adapt to change.
- Confidence in handling difficult conversations and managing challenging clients and referral partners.
- Strong multi-tasking skills with exceptional attention to detail.
- Ability to work independently while also excelling in a team setting.
- Excellent verbal and written communication skills.
- Strong computer proficiency and data entry skills.
- A high degree of accuracy, thoroughness, and discretion when dealing with confidential matters.
Preferred Qualifications:
- Level 1 Mortgage License in the Province of Ontario (or ability to obtain)
- Minimum of 2 years of experience in mortgages (broker or branch)
- Post-secondary education is an asset.
- Experience using mortgage technology and software, specifically Finmo
