Evolution Wellness Centre is a multidisciplinary clinic dedicated to providing high-quality care. We coordinate Chiropractic and Registered Massage Therapy (RMT) services to optimize patient wellness in a supportive, professional, and collaborative environment. Position Overview
We are seeking an experienced, independent, and tech-savvy Casual Coverage Office Assistant to join our team. This is a casual, as-needed position designed for vacation coverage, sick leave coverage, and occasional scheduling support.
Because this is a casual role, there are no guaranteed minimum weekly hours. Hours of work will vary based on clinic operational needs. We make every reasonable effort to provide the upcoming month's coverage schedule two (2) weeks in advance.
Core Responsibilities
- Patient Experience: Greet patients warmly in person and manage communication channels (email, phone, text) with a professional, welcoming attitude.
- Clinic Flow: Coordinate with our Chiropractic and RMT providers to optimize patient care and efficiently manage clinic volume.
- Administration & Billing: Manage the full lifecycle of patient records, utilizing Google Docs and Google Sheets for internal data tracking, logging, scanning, and updating files.
- Financial Tasks: Maintain strict accuracy across daily clinic billing, invoicing, and third-party insurance claim submissions.
- Clinic Environment: Maintain the cleanliness and organization of the reception area to uphold a welcoming, low-stress atmosphere.
Qualifications & Requirements
- Jane App Expertise (Mandatory): Advanced proficiency and hands-on experience with Jane App software is strictly required. You must be able to independently manage bookings, scheduling, and billing from day one.
- Google Workspace Proficiency: Strong foundational skills in basic Google platforms, including Gmail, Google Docs, and Google Sheets for clinic administration and communication.
- Day-One Readiness: Proven ability to run a multidisciplinary reception desk independently with proficient computer skills and a positive, problem-solving mindset.
- Professional Boundaries: Strong communication skills with a commitment to maintaining strict professional boundaries with patients.
- Compliance Mindset: Ability to quickly learn, understand, and strictly uphold the clinic standards required by the College of Complementary Health Professionals of BC (CCHPBC).
- Privacy & Confidentiality: Absolute commitment to adhering to the Personal Information Protection Act (PIPA) of British Columbia regarding patient health data.
Compensation & Benefits
- Weekly Pay: Wages are calculated weekly (Sunday–Saturday) and delivered via Direct Deposit on the following Monday (or Tuesday on statutory holidays).
- Vacation Pay: Paid out at 4% of gross earnings on each regular weekly paycheque.
- Statutory Pay: Paid in strict accordance with the BC Employment Standards Act.
- On-Site Resources: Full access to comprehensive Standard Operating Procedures (SOPs), training tools, and reference manuals at the front desk to support your integration during your paid working hours.
Pay: $25.00 per hour
