We're looking for an organized, dependable, and proactive Operations Coordinator to help keep our day-to-day operations running smoothly. This role is ideal for someone who enjoys creating structure, staying organized, and supporting multiple areas of a growing business.
No two days are exactly alike. You may be ordering ingredients one day, helping package products the next, coordinating shipments, or organizing office systems. If you enjoy variety and love bringing order to busy environments, we'd love to hear from you.
Position Overview
The Operations Coordinator supports the daily operations of Sarjesa Group by coordinating purchasing, inventory, administration, logistics, and light production activities.
Working closely with the leadership and production teams, you'll help ensure materials are available when needed, inventory remains accurate, administrative tasks stay organized, and customers receive an exceptional experience.
This is a hands-on position with opportunities to grow as the company continues to expand.
Key ResponsibilitiesInventory & Purchasing
- Monitor inventory levels for ingredients, packaging, and office supplies
- Prepare and submit purchase orders
- Coordinate ordering with suppliers and vendors
- Receive incoming inventory and verify shipments
- Maintain accurate inventory records
- Conduct regular inventory counts and cycle counts
- Communicate inventory shortages and replenishment needs
- Help organize warehouse and storage areas
Administration
- Support day-to-day administrative operations
- Organize digital and physical files
- Maintain company records and documentation
- Assist with scheduling, data entry, and reporting
- Prepare basic spreadsheets and operational reports
- Support document management and SOP updates
- Assist leadership with administrative projects
- Answer and direct general customer inquiries
Logistics & Shipping
- Coordinate incoming and outgoing shipments
- Prepare shipping labels and shipping documentation
- Schedule courier pickups and freight shipments
- Track shipments and resolve shipping issues
- Support fulfillment and order accuracy
- Coordinate inventory movement between storage, production, and shipping
Light Production Support
- Assist with packaging tea, spices, and powdered beverages as needed
- Help prepare production materials
- Label products and assemble finished goods
- Support quality checks and production documentation
- Maintain cleanliness and organization throughout production areas
- Assist with general production tasks during busy periods
Operations & Process Improvement
- Help maintain Standard Operating Procedures (SOPs)
- Identify opportunities to improve efficiency
- Support implementation of new systems and processes
- Track operational KPIs when required
- Help keep workspaces organized and running efficiently
Qualifications
- Previous experience in administration, operations, logistics, inventory, or office coordination preferred
- Strong organizational and time management skills
- Excellent attention to detail
- Comfortable multitasking and prioritizing work
- Strong written and verbal communication skills
- Proficient with Microsoft Office and/or Google Workspace
- Experience with inventory management systems or Shopify is an asset
- Experience in food manufacturing, warehousing, or consumer packaged goods is considered an asset
- Comfortable performing occasional light lifting and production work
- Able to work independently while collaborating with a team
