This position is responsible for providing administrative support to the Region’s disability management program. This position supports the coordination of disability programs which includes disability-specific policies and procedures, disability management (STD/LTD) and return to work programs.
- Provide high quality confidential administrative support to Disability Management and assist with the administration and coordination of disability management claims, including managing a small caseload of routine, non-complex short-term disability files under the guidance of a Disability Management Specialist
- Assist in the coordination of the STD/LTD disability program, including forms, correspondence and administration
- Handle confidential correspondence for the section, open mail, answer phone enquiries, reply to email messages
- Assist disability management section with special projects and education sessions
- Input confidential employee information in the Parklane system ensuring accuracy of claims information input into the system
- Initiate and ensure timely reporting of all disability claims to Long Term Disability carrier. Update all correspondence from LTD Carrier into Parklane systems
- Act as the administrator of the Parklane System (for STD/LTD/WSIB claims) to ensure consistent data quality and accurate reports. This includes analysis of the data in the system, implementing software upgrades, including weekly, monthly Parklane downloads, updating department tables/attributes and monitoring the integrity of the information
- Work with the Disability Management Specialist to ensure the accuracy of the information reported for all disability claims and the appropriate follow up plans noted
- Provide disability management administrative support including referrals/information to the occupational medical consultant, coordination with payroll services for calculation of benefits, and communication to employees
- Prepare metrics and cost reports as required. Identify cost discrepancies by thorough review of claims invoices and reconciling issues between divisional records and the SAP system
- Process payments to vendors and employee reimbursements in accordance with established financial procedures and timelines
- Perform other duties, as assigned
- Degree or diploma from a recognized post-secondary institution in Medical Office Administration, Human Resources, or a related field (or an equivalent combination of education and experience)
- Minimum three (3) years of administrative experience
- Experience managing a small caseload of non-complex claims is considered an asset
- Proficiency with Microsoft Office (Word, Excel, and PowerPoint)
- Experience with Parklane or other disability management software is required
- Knowledge of SAP is considered an asset
- Excellent interpersonal, communication, organizational, and decision-making skills, with tact and diplomacy
- Strong organizational skills, including the ability to prioritize tasks and manage a high-volume workload
- Ability to handle sensitive and confidential information with professionalism and discretion
