A growing healthcare organization operating multiple medical clinic locations across Surrey, Cloverdale and Langley is seeking an experienced and highly organized Multi-Site Medical Clinic Operations Manager.
This is a leadership position for someone who can oversee multiple clinic locations, support physicians and administrative teams, improve operational processes, and ensure consistent standards across the organization.

Position Overview
The Multi-Site Medical Clinic Operations Manager will be responsible for overseeing the day-to-day administrative and operational functions of several medical clinic locations.
The successful candidate will work closely with physicians, clinic leadership, medical office assistants, reception staff, administrative teams, and external service providers to ensure that each clinic operates efficiently and maintains a professional, organized, and patient-centred environment.
The position is primarily on-site and requires regular travel between clinic locations in Surrey, Cloverdale and Langley.
Key Responsibilities
- Oversee the daily administrative and operational activities of multiple medical clinic locations.
- Provide leadership, supervision, and ongoing support to clinic administrators, medical office assistants, reception staff, and other team members.
- Ensure consistent policies, procedures, workflows, and service standards are followed across all clinic locations.
- Monitor clinic operations and identify opportunities to improve efficiency, patient flow, communication, and staff performance.
- Assist with employee recruitment, interviewing, onboarding, orientation, training, scheduling, and performance management.
- Coordinate staffing coverage for vacations, sick leave, absences, and changing clinic requirements.
- Support physicians and clinic teams with scheduling, administrative coordination, patient flow, and operational concerns.
- Conduct regular clinic visits and remain available to address urgent operational or staffing matters.
- Support the development and implementation of standardized clinic procedures and training materials.
- Address staff concerns, workplace issues, and patient service concerns in a timely and professional manner.
- Promote a respectful, collaborative, accountable, and patient-focused workplace culture.
- Monitor clinic supplies, equipment, inventory, maintenance requirements, and vendor relationships.
- Coordinate with contractors, service providers, landlords, and vendors when required.
- Review and approve staff timesheets, attendance records, vacation requests, and scheduling changes.
- Assist with payroll preparation, expense tracking, invoicing, purchasing, and basic financial administration.
- Monitor administrative performance and prepare operational reports and updates for senior leadership.
- Ensure clinic teams follow privacy, confidentiality, workplace safety, infection-prevention, and organizational policies.
- Support compliance with applicable healthcare and employment requirements.
- Participate in management and leadership meetings.
- Assist with physician onboarding, staff transitions, clinic expansions, new service implementation, and the opening of additional locations.
- Support organizational projects and complete other operational or administrative duties as assigned.
Qualifications and Experience
- Minimum of three years of management, supervisory, or clinic operations experience.
- Previous experience working in a medical clinic, healthcare organization, multidisciplinary practice, or similar professional environment is strongly preferred.
- Experience overseeing multiple locations or managing teams across different sites is considered a strong asset.
- Diploma or degree in healthcare administration, business administration, management, human resources, or a related field is preferred.
- Strong understanding of clinic administration, staffing, scheduling, patient service, and medical office workflows.
- Experience using electronic medical record systems is an asset.
- Experience with staff recruitment, training, coaching, and performance management.
- Proficiency with Microsoft Office, Google Workspace, email, scheduling platforms, and general office technology.
- A valid driver’s licence and reliable access to a vehicle are required, as regular travel between clinic locations will be necessary.
