Job Summary
We are seeking a highly organized and proactive Personal Assistant to support the Director in managing daily administrative tasks and ensuring smooth operations. The ideal candidate will possess excellent communication skills, strong organizational abilities, and proficiency with various office software. This role offers an opportunity to work closely with executive leadership, providing essential support to facilitate efficient decision-making and workflow.
Responsibilities
- Manage and maintain the Director’s calendar using E Calendar and Google Workspace, scheduling meetings, appointments, and events.
- Handle correspondence via phone and email
- Prepare, proofread, and edit documents to ensure accuracy and clarity.
- Perform data entry, filing, and document management tasks using Microsoft Office applications and DocuSign.
- Assist with bookkeeping activities including invoicing and expense tracking utilizing QuickBooks.
- Coordinate travel arrangements and prepare itineraries for business trips.
- Support administrative projects such as organizing files, maintaining office supplies, and supporting event planning as needed.
Requirements
- Proven clerical or administrative experience with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and DocuSign.
- Experience with data entry, proofreading, filing systems, and front desk operations.
- Excellent customer service skills combined with professional phone etiquette.
- Ability to manage multiple tasks efficiently while maintaining attention to detail.
- Office experience or administrative experience preferred.
- Exceptional organizational skills
