We are looking for a warm and professional Patient Greeter and Clinic Flow Assistant to support our Tuesday clinic in a private specialist medical office.
This is not a traditional receptionist or medical secretary position. You will not be responsible for managing the main phone line, booking appointments, processing referrals, handling billing, or running the administrative side of the office.
Instead, your role will focus on the in-person patient experience: welcoming patients, checking them in, helping with forms, guiding them through the office, bringing them to examination rooms, and working closely with the physician and Office Manager to keep the clinic running smoothly.
A calm greeting, clear directions, and a reassuring presence can make a meaningful difference in someone’s medical appointment.
About the Role
You will be based at a desk near the front entrance of the office and will be the first person many patients see when they arrive.
Your main responsibility will be to help patients feel welcomed, informed, and comfortable while ensuring they move efficiently through each stage of their visit.
You will work directly with the physician and Office Manager as part of a small, collaborative team.
What You Will Do
Welcome Patients
- Greet patients and visitors warmly and professionally
- Check patients in when they arrive
- Confirm that they are in the correct location for their appointment
- Let the physician and Office Manager know when patients have arrived
- Help patients feel acknowledged and comfortable while they wait
Guide Patients Through the Office
- Escort patients to examination rooms
- Direct patients to the waiting area, washrooms, and other areas of the office
- Explain what will happen next during their visit
- Help patients move between the waiting room, examination rooms, and checkout area
- Assist patients who may be anxious, uncertain, elderly, or require extra direction
Help With Forms
- Provide patients with the appropriate forms
- Give clear instructions about how to complete them
- Collect completed forms
- Check that obvious sections have not been missed
- Deliver forms to the physician or Office Manager
Support Clinic Flow
- Keep track of which patients have arrived and which rooms are available
- Communicate with the physician and Office Manager throughout the clinic day
- Help ensure patients and rooms are ready at the appropriate time
- Prepare examination rooms between patients by completing simple, nonclinical reset tasks
- Keep the entrance, waiting area, and patient-facing spaces tidy and presentable
- Assist with other simple patient-flow tasks as needed
What This Position Does Not Involve
This is not primarily a receptionist, medical secretary, or office administration role.
The successful candidate will not be expected to:
- Manage the main telephone line
- Schedule appointments
- Process referrals
- Handle billing or insurance claims
- Manage medical records
- Respond to clinical questions
- Independently manage the office
These responsibilities are handled by the Office Manager and physician.
The main purpose of this role is to provide a friendly human presence at the entrance and help patients move comfortably and efficiently through the clinic.

Previous experience in healthcare, a medical office, hospitality, customer service, seniors’ services, or another public-facing role is an asset.
Some familiarity with medical terminology or healthcare environments would be helpful, but it is not required.
The right attitude, reliability, and ability to make patients feel welcome are more important than extensive medical office experience.

Compensation
$19.00–$20.00 per hour, depending on experience.
