Job Summary
The Associate Project Manager role is a full-time position that requires working both in office and on project sites, as well as rotating on-call shifts.
Description
The Associate Project Manager works directly under the Senior Project Manager, providing hands-on support in the field and in the office while independently managing a portfolio of smaller, lower-complexity files from start to finish. This role bridges site work and administration — conducting inspections and monitoring progress on site, preparing estimates and scopes of work, and serving as a point of contact for clients, subcontractors, and adjusters. On larger or more complex files, the Associate Project Manager supports the Senior Project Manager with estimating, documentation, and coordination. The position is a development track toward full Project Manager responsibility.
Key Responsibilities
File Management
- Independently manage a portfolio of smaller, lower-complexity and lower-value files from initial inspection through completion
- Take ownership of assigned files, including scoping, scheduling, coordination, documentation, and closeout
- Escalate complex, high-value, or contentious files to the Senior Project Manager as required
- Support the Senior Project Manager on larger and more complex files with estimating, documentation, and coordination
- Use approved AI and automation tools to improve efficiency in estimating, documentation, and communication, while verifying all AI-generated content for accuracy before it is submitted or shared
Field Support
- Conduct site inspections, scope losses, and capture site conditions using Encircle and DocusketchMonitor project progress on site, verify work quality, and identify deficiencies for timely correction
- Coordinate site access and scheduling with subcontractors, trades, and building staff
- Support the Senior Project Manager on site during larger or complex projects, monitoring progress and gathering information
- Assist with the creation and monitoring of safe work procedures while projects are underway
Estimating and Budgeting
- Prepare accurate estimates and scopes of work in Xactimate for review and submission
- Assist the Senior Project Manager in preparing estimates for larger and more complex files
- Enter and reconcile time sheets, vendor quotes, and other project cost information
- Track project expenditures and ensure they are allocated to the correct file
Stakeholder Communication
- Serve as a point of contact between clients, subcontractors, property managers, condo corporations, and insurance adjusters
- Provide regular updates on project status, changes, and any issues that arise
- Address client concerns and deficiencies in a timely and professional manner
- Coordinate and attend site visits and meetings
- Escalate stakeholder issues to the Senior Project Manager as required
Project Documentation and Administration
- Prepare and send project reports to property managers, condo corporations, and insurance adjusters
- Prepare and issue work orders for production in alignment with project requirements
- Maintain project documentation by updating status, noting files, and adding correspondence and documents
- Assist with customer invoicing, billing, and collection of supporting documentation for project expenditures
- Proactively identify potential issues and work to resolve them
Skills and Educational Requirements
- A proven track record, with a minimum of 1–2 years of experience in restoration, construction, or a related project coordination role
- High standards of ethics, honesty, and integrity
- Excellent organizational and communication skills with the ability to manage multiple stakeholders on each project
- Available for evening and weekend on-call coverage
- Collaborative and proactive approach to completing tasks and solving problems
- Ability to deal with stressful situations and resolve conflict in a professional and respectful manner
- Comfort using AI and automation tools responsibly, with sound judgment about when human review and verification are required
- Able to effectively manage multiple tasks and competing priorities under tight deadlines
- Highly proficient in MS Office Suite
- Knowledge of restoration industry and insurance claims processes a strong asset
- Experience with Xactimate, Encircle and Project Management software an asset
Minimum Physical Requirements
- Focusing on computer monitors for extended periods of time
- Ergonomically correct body position
- Typing, including hand dexterity
- Mobile with good overall body movement
- Extended phone usage
- Repetitive lifting up to 50 pounds
- Valid and clean driver’s license
- Able and willing to work longer hours depending on business volume

Pay: $60,000.00-$75,000.00 per year
