We are seeking an Administrative Support Staff who will be responsible for providing general office and administrative support to the team. The ideal candidate will have excellent communication and interpersonal skills, effective attention to detail and a high degree of accuracy.
In this role you are expected to:
Maintain standards for administration and documentation:
- Assists with administrative process for Request for Information (RFI) documents.
- Prepares documentation for print drawings and specifications. (This will involve standing in our print room for long periods of time).
Maintains standards for office support:
- Assists with mail distribution.
- Assists with reception coverage.
- Prepares coffee for breaks/lunches/meetings/special events.
- Maintains the coffee machines and supplies and liaises with the coffee vendor as and when needed.
- Maintains office equipment and inventory which includes monitoring usage and replenishing paper supplies in plotters and printers throughout the day, ordering supplies for plotters and printers and liaises with technicians for repairs and maintenance of office equipment.
- Sets up new hire workstations.
- Decorates the office for special events (staff birthdays, workplace anniversaries)
- Maintains the office warehouse and ensures that it is neat and tidy.
- Orders and maintain personal protective equipment for staff.
- Assists with Human Resources administration.
What You Bring:
- Proficiency in Microsoft Office (Word, Excel, Outlook) and document management tools such as Bluebeam or Adobe Acrobat.
- Experience managing email correspondence and computerized calendars is required.
- Familiarity with mechanical and/or electrical terminology is considered an asset.
- Previous experience in reception or front-desk duties is preferred.
- Ability to quickly learn and adapt to new software and digital tools.
- Strong verbal and written communication skills.
- Proven problem-solving skills with the ability to exercise sound judgment.
- Excellent organizational skills with the ability to prioritize competing deadlines and manage a diverse administrative workload independently.
- Ability to work effectively in a fast-paced environment and perform well under pressure.
- Strong interpersonal skills with the ability to build and maintain effective working relationships at all levels of the organization.
- Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
- High attention to detail with a strong commitment to accuracy.
- Ability to lift up to 20 lbs as required.
- Ability to stand for extended periods, particularly when working in a print room environment.
Education and Experience
- Minimum of 1 year of experience in administrative support or a related role.
- High school diploma or equivalent is required.
- Completion of an Office Administration diploma or certificate is preferred.
- A combination of relevant post-secondary education and work experience may be considered.
- Experience in a consulting or professional services environment is required.
- Experience in the Architecture, Engineering, and Construction (AEC) industry is considered an asset.
