Job Overview
We are seeking a detail-oriented and highly organized Legal Assistant to join our Financial Services & Administrative Department. This role provides comprehensive administrative and legal support to lawyers by coordinating files, preparing documents, and managing day-to-day practice needs. The ideal candidate brings strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment while delivering professional and accurate support.
Duties
- Coordinate new business intake, file openings, conflict searches, engagement letters, and required client documentation.
- Prepare, edit, format, proofread, finalize, and distribute legal documents, correspondence, and client materials while maintaining accurate records in firm systems.
- Maintain client and matter information, including CRM, document management, and bring-forward systems.
- Manage calendars, meetings, deadlines, travel arrangements, and other practice coordination activities for lawyers and clients.
- Support billing and financial processes, including time entries, invoices, WIP/AR, expenses, and related financial documentation.
- Serve as a key point of contact for lawyers, clients, and internal teams while supporting matter coordination, compliance, and file management.
- Assist with process improvements, team collaboration, and knowledge-sharing initiatives.
Requirements
- Completion of a recognized Legal Assistant, Law Clerk, or Paralegal program, or an equivalent combination of education and experience.
- 2+ years of law firm experience in a Legal Assistant or Legal Administrative role, preferably supporting financial services or banking matters.
- Strong knowledge of commercial lending transactions, including bank commitment letters, security documentation, transaction closings, funding processes, and preparation of closing documents.
- Experience with corporate, land, insolvency, personal property, and court searches, including the use of online search platforms and coordination with external agents.
- Proficiency with Microsoft Office Suite, legal technology applications, document management systems, CRM platforms, and law firm financial systems.
- Strong organizational, time management, and prioritization skills with the ability to manage competing deadlines independently in a fast-paced environment.
- Excellent attention to detail, proofreading, and document preparation skills with a commitment to producing accurate, high-quality work.
- Professional written and verbal communication skills, with the ability to work effectively with clients, lawyers, and colleagues.
- Demonstrated discretion, reliability, adaptability, sound judgment, and the ability to work both independently and collaboratively while maintaining confidentiality and professional standards.
Pay: $55,000.00-$75,000.00 per year
