People, Engagement, and Learning Coordinator
Terms: Full-time (37.5 hours/week), Permanent
Location: Remote in Canada with hybrid or in-office options for cities with an office

MakeWay’s People, Engagement, and Learning (PEL) team is looking for a People, Engagement, and Learning Coordinator who enjoys creating positive experiences for others while helping things run smoothly behind the scenes.
Reporting to our Manager of People, Engagement, and Learning and as a member of a collaborative team, you will support the day-to-day administration of people operations processes across the employee lifecycle, ensuring that they are organized, thoughtful, and relational. You’ll also contribute to HR projects, research, and continuous improvement initiatives that support both MakeWay Foundation (MWF) and MakeWay Charitable Society (MWCS). As the team’s priorities naturally shift throughout the year, you’ll have the opportunity to move between recurring HR administration tasks, employee lifecycle coordination, project work, and emerging team needs, bringing adaptability and a collaborative approach to all areas.

What You’ll Do:
HR Administration
- Support with drafting employment contracts, offer letters, and contract amendments for a team of 200+ employees across MWF and MWCS.
- Maintain employee records and ensure HR documents are organized, up-to-date, and filed appropriately.
- Assist with HR audits (e.g. volunteer programs), reporting, and documentation reviews as needed.
- Support with HR related research to contribute to policy development and process improvements.
Employee Lifecycle Coordination
- Coordinate operational aspects of employee lifecycle processes, including recruitment, (pre)onboarding, re-integration, and offboarding for MWF, in collaboration with hiring teams and managers.
- Support recruitment processes as hiring needs arise, including:
- Posting job advertisements
- Scheduling interviews
- Communicating with candidates throughout the recruitment process
- Preparing and sending candidate surveys
- Coordinating compensation invoices for candidates
- Maintaining accurate and up-to-date applicant files and records
- Prepare and distribute new hire surveys and mandatory legislative training courses.
- Support the Sr. Manager of Learning and Wellbeing and Sr. Manager of People, Engagement, and Learning with coordination and administration as needed.

Experience You Bring:
- Post-secondary education in Human Resources or a related field, or equivalent experience.
- 1-3 years of experience in an HR administrative role.
- Experience coordinating recruitment, onboarding and offboarding, and employee lifecycle processes.
- Proficiency in Microsoft Office Suite or similar tools.
- Familiarity with HRIS, applicant tracking systems, learning management systems and digital filing systems such as Dayforce, Atlas, SharePoint and Box.
It Would Be a Bonus if You Have:
- Familiarity with employment standards legislation and HR compliance.
- Experience working in a nonprofit or mission-driven environment.
- HR designation or working toward a designation (e.g. CPHR or CHRP)
- Experience with volunteer coordination and knowledge of volunteer management best practices.

Hiring Process:

2. Phone Screen: The hiring manager will conduct 30-minute phone screening calls with the shortlisted candidates.
3. Interview 1: Candidates selected to move forward will be invited to participate in a first-round panel interview through Microsoft Teams.
4. Interview 2 and Written Task: Candidates selected to move forward will be invited to complete a written interview task and participate in a second-round interview panel through Microsoft Teams.
5. Offer and References: We will conduct 2-3 professional reference checks and extend a verbal and written offer to the selected candidate.
