Position Summary
The Process Serving Office Administrator supports the daily operations of a legal services firm specializing in process serving. This role is responsible for client communication, file management, document preparation, tracking service attempts, and ensuring accurate and timely completion of assignments in compliance with legal requirements.
Key Responsibilities
- Open, organize, and maintain client files (digital and physical)
- Intake new service requests and review legal documents for completeness
- Coordinate assignments with process servers and monitor progress
- Track deadlines, court dates, and service attempts
- Prepare affidavits of service and other legal documentation
- Communicate with clients, law firms, and court offices regarding file status
- Maintain detailed records in case management software
- Process invoices and assist with billing
- Handle incoming calls and email inquiries professionally
- Ensure compliance with provincial and federal legal requirements
- Assist with basic bookkeeping and administrative reporting as needed
Qualifications
- Post-secondary education in legal administration strongly preferred
- Strong understanding of confidentiality and professional ethics
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Ability to manage multiple files and deadlines simultaneously
- Proficiency in Microsoft Office and case management systems
- Knowledge of court procedures and legal terminology is an asset
