Salary: $45,000 - $50,000 per year
Schedule: Monday to Friday, 8:30 a.m. to 5:00 p.m.
Location: In-person, at 7630 Airport Road, Mississauga, ON L4T 4G6

We are currently seeking an organized, customer-focused Service Coordinator to join our team.
Job Summary
The Service Coordinator is responsible for coordinating service appointments, communicating with homeowners, builders, and internal teams, and ensuring service requests are completed accurately and efficiently. This role requires exceptional organizational skills, strong customer service abilities, and the capacity to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Schedule and coordinate service appointments for installation and service technicians.
- Contact homeowners, customers, and builders to arrange, confirm, and reschedule appointments as required.
- Answer incoming phone calls and emails promptly and professionally while providing excellent customer service.
- Create, process, and maintain service work orders with a high degree of accuracy.
- Coordinate daily schedules with service technicians and other internal departments to ensure efficient service delivery.
- Monitor service requests and communicate scheduling updates, delays, or changes to customers and internal stakeholders.
- Review, complete, and maintain all required service documentation and records.
- Close completed service runs and verify all information has been accurately recorded.
- Distribute completed work orders and service reports to builders and customers via email.
- Follow up on outstanding service requests and customer inquiries to ensure timely resolution.
- Handle customer concerns and complaints professionally while working toward satisfactory resolutions.
- Maintain organized electronic and physical filing systems.
- Provide vacation and departmental coverage as required.
Qualifications
- 1–3 years of experience in customer service, scheduling, dispatching, service coordination, or a related administrative role.
- Secondary school diploma required.
- Post-secondary education in Business Administration, Office Administration, or a related field is considered an asset.
- Strong proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
- Experience with ERP systems, scheduling software, or service management systems is considered an asset.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities with exceptional attention to detail.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong problem-solving and conflict-resolution skills.
- Ability to remain professional and composed when dealing with upset or difficult customers.
- Experience within a manufacturing, construction, building products, distribution, or service-related environment is considered an asset.
