Operations Specialist, Maintenance & Repair Service Department - Atlantic
Job Summary
The Operations Specialist primary role is to oversee and manage the day-to-day activities of the elevator mechanics and crews. The Operations Specialist will be responsible for coordinating all maintenance and repair activities, and projects. The Operations Specialist will always be professional and presentable with the understanding they are a representative of ATTA Elevators and have a responsibility to uphold and maintain that image to the best of their abilities. This position reports directly to the Service Manager.
DUTIES & RESPONSIBLITIES:
Process & Quality Management:
- Coordinate a team of elevator mechanics in conducting maintenance, repairs, and service projects.
- Ensure all elevator work is performed safely, efficiently, and accurately.
- Schedule and coordinate elevator projects, ensuring timelines and budgets are met.
- Evaluate team performance and provide necessary feedback and coaching.
- Collaborate with other departments including engineering, operations, and sales to support sales efforts and project growth.
- Assist with troubleshooting as needed
- Ensure timely and cost-effective delivery of maintenance/QS projects
- Manage documentation, files, and records related to the elevator team activities.
- Assign duties to mechanics and crews
- Review and manage technician recommendations in Liftkeeper system, order and schedule accordingly
- Assist with the review and approval of timesheets for accuracy. Question discrepancies and have correction made prior to approving
- Review and assist with billable time tickets
- Ensure compliance with all regulations and governing bodies
- Assist with the review and approval of vacation time for field employees in ADP
Safety & Operations:
- Train and develop the elevator team in safe work practices, procedures, and maintenance processes.
- Identify safety and technical training needs and deliver targeted instruction to field personnel
- Promote ATTA’s standards of safety, quality, and productivity through coaching and consistent reinforcement
- Investigate incidents and near misses, conduct regular safety observations, and ensure proper use of personal protective equipment (PPE)
- Ordering parts for contract maintenance, repairs, and service jobs
- Responsible for the management of warehouse inventory and stock
- Perform monthly safety audits
- Review upcoming work with the Service Manager and plan the following weeks activities
- Ensure mechanics and crews have the necessary tools, equipment, and materials to complete their assigned duties as efficiently as possible
- Organize inspections and assist with completion of required documentation and forms.
- Review and schedule upcoming projects
- Review and analyze labour hours and plan corrective action when projects fall behind
- Manage and resolve deficiencies identified by Authorities Having Jurisdiction (AHJ) and Consultants
- Assist with shipping and receiving
Customer Service & External Relations
- Establish and maintain relationships with clients and suppliers.
- Interpret customer concerns and coordinate internal resources to deliver effective, cost-conscious solutions
- Respond to customer inquiries promptly and professionally, ensuring clear and consistent communication
- Demonstrate value to customers through quality service and transparent engagement
- Communicate effectively with IUEC representatives, Consultants, inspectors, and other stakeholders to resolve disputes
- Build and maintain proactive relationships with IUEC to support field operations
- Collaborate across ATTA business functions to ensure alignment and operational success
