Position Overview
We are seeking a career-focused Junior Bookkeeper / Administrative Assistant with 1–3 years of experience who is looking to grow within the accounting profession. This role blends day-to-day bookkeeping with front-office administration, and is ideal for someone who values long-term development and is eager to learn in a structured, team-oriented environment.
You'll support our clients both in person at our Brantford office and remotely through our cloud-based service model, so comfort with technology and cloud tools is essential.
This is an on-site position based at our office at 80 Brant Ave, Brantford, ON.

Key ResponsibilitiesBookkeeping Duties
- Perform accurate daily data entry of financial transactions in cloud-based accounting software (e.g., QuickBooks Online, Xero)
- Enter and code accounts payable — vendor bills and expenses — to the correct general ledger accounts
- Prepare and issue customer invoices (accounts receivable) and record incoming payments
- Process, categorize, and organize receipts and source documents using cloud tools (e.g., Dext, Hubdoc)
- Perform bank, credit card, and other account reconciliations, matching transactions and flagging discrepancies for review
- Assist in maintaining the general ledger and keeping the chart of accounts accurate and up to date
- Maintain accurate, complete, and well-organized financial records across multiple client files
- Assist with HST/GST tracking and preparation of sales tax filing information for senior review
- Provide payroll support, including entering hours, assisting with payroll runs, and helping organize source deductions and remittances
- Assist senior bookkeepers and accountants with month-end and year-end close tasks
- Prepare basic financial summaries and reports as directed
- Follow up with clients to collect missing statements, documents, or information needed to complete the books
- Handle sensitive financial information with discretion and maintain client confidentiality
Administrative Duties
- Greet clients and manage front-desk/reception, providing a professional first impression
- Answer, screen, and direct incoming phone calls
- Respond to and manage general email inquiries and correspondence
- Scan, organize, and file documents accurately — both physical files and cloud-based digital filing systems
- Manage incoming and outgoing mail and courier packages
- Schedule and confirm client appointments and assist with calendar coordination
- Perform data entry and document management within our cloud systems
- Maintain office supplies and place orders as needed
- Keep the office, reception, and common areas clean, tidy, and presentable throughout the day
- Provide general administrative support and coordination to the team
Additional Responsibilities (as needed)
- Provide administrative support for our Young Entrepreneurs Program
- Assist with social media posting and content coordination (optional / an asset)
- Take on additional tasks and responsibilities as required as the firm grows
Qualifications
- 1–3 years of bookkeeping, accounting, or related administrative experience
- Post-secondary education in accounting, business, or a related field is an asset
- Working knowledge of basic bookkeeping principles (debits/credits, reconciliations)
- Familiarity with cloud-based accounting software such as QuickBooks Online or Xero is preferred
- Comfortable with technology and cloud-based tools, including document management systems, Slack, Zoom, and Microsoft 365 or Google Workspace
- Strong attention to detail and organizational skills
- Professional written and verbal communication skills
- Reliable, punctual, and able to work on-site in Brantford
- Legally entitled to work in Canada
