The Recruitment team under the Office of the Registrar is currently seeking a Full-time Temporary Relief Coordinator, Prospective Student Engagement for approximately 12 months.
Reporting to the Assistant Registrar, Student Recruitment and Applicant Relations the Coordinator provides direction, supervision and coordination of undergraduate engagement recruitment efforts to support the University of Calgary's enrolment goals to attract top undergraduate students. The Coordinator, Prospective Student Engagement is a pivotal position in the recruitment team and an expert in current recruitment practices, ensuring support for UCalgary's prospective student communication plan and the execution of cross-region and armchair recruitment activities.
Key accountabilities for the role include the execution of UCalgary's undergraduate paid and organic social media efforts, oversight to other armchair recruitment activities such as the Recruitment and Admission Blog or Choose UCalgary podcast, as well as providing oversight and leadership to prospective student engagement activities such as events like Open House, You at UCalgary, or UCalgary's Campus Tour program. The role also plays a significant role in supporting UCalgary's Undergraduate CRM to streamline communication activities to prospective applicants and incoming students.
As a member of the leadership team for Admissions and Recruitment, a collaborative and consultative leadership style will contribute to the development and maintenance of effective working relationships with academic units and other departments and groups on campus. This position is directly accountable for a team that organizes and implements prospective student events and digital recruitment activities therefore requires flexibility including working evenings and weekends and travelling as necessary. The work is in a fast-paced, dynamic environment requiring flexibility, high energy, and strong analytical and problem-solving abilities.
Candidates will be expected to start late September.
Summary of Key Responsibilities (job functions include but are not limited to):

Works closely with the Assistant Registrar, Student Recruitment and Applicant Relations and Associate Registrar, Information, Admission and Recruitment on implementing the digital recruitment strategy.

Participates in goal setting for the unit; assesses and evaluates progress in meeting established goals and objectives, makes recommendations on recruitment strategy and works to implement those changes, often leading a group of staff to achieve the desired outcomes. Assists in organizing and conducting team meetings and planning sessions.

Managerial responsibilities of 3-5 unionized staff, and student employees (including co-op). This includes hiring, training, supervising, performance management and discipline.

Coaches staff on effective decision making and policy interpretation.

Monitors the volume of work of the unit, works with staff to ensure staff levels and assignments are adjusted appropriately.

Provides a positive leadership model to staff; is a willing mentor and shares knowledge and expertise freely, and, creates a safe and productive working environment.

Makes recommendations and supports new approaches to improve recruitment and conversion of prospective students in support of UCalgary enrolment objectives.

Oversight of timely and accurate response to inquiries from prospective students.

Development of annual digital, engagement and events planning in collaboration with the Assistant Registrar, Student Recruitment and Applicant Relations

Identifies and targets key contacts/organizations in student recruitment to facilitate University of Calgary's recruitment initiatives, conversion strategies, and applicant follow-up.

Accountable for the creation and execution of UCalgary's paid social media advertisements to meet institutional enrolment targets as outlined in the Recruitment Strategy

Accountable for the oversight of organic social media content

Accountable for the digital outreach and engagement throughout UCalgary's digital presence

Accountable for the oversight of other armchair recruitment efforts such as the Recruitment and Admission Blog or Choose UCalgary podcast.

Supports the National and International recruitment efforts with the creation and delivery of digital communications (e-mails, call campaigns, etc.) through the Recruitment CRM

Supports the organization and delivery of Student Recruitment photoshoots or video campaigns
-
Accountable to ensuring that the CRM system supports furthering recruitment analysis and efforts and improved applicant and stakeholder experience to support uCalgary in moving toward strategic priorities.

Prepares recruitment reports regarding digital recruitment activities and engagement

The Coordinator makes informed recommendations so that events and tours focus on the student experience and influence prospective students and their key influencers to place the University of Calgary as their top choice.
- Supports the project coordination and implementation of multi-channel marketing and communications plan which may include: region specific social media, direct-mail, electronic communications (e.g. e-mail newsletters/bulletins) and telephone campaigns related to the recruitment objectives of the University for both attracting students, engagement and conversion activities.
Qualifications / Requirements:

A four-year University Bachelor's Degree from a recognized post-secondary institution

2-4 years of digital marketing and communication experience and/or recruitment experience.

Previous social media experience including working with paid advertisements with Facebook and Instagram, Pinterest, Reddit, Google Ad words, etc.

Demonstrated technical writing ability
-
CRM experience is an asset
-
Previous management and leadership experience is preferred

Demonstrated knowledge of the organizational structure of the University of Calgary with regard to such factors as location, student population and academic programs is considered an asset.

Must embrace change and have demonstrated successful experience supporting and leading change in a complex, people-oriented environment

Comprehensive knowledge of the University's admission regulations, admission procedures, educational programs and services.

Strong skills in event coordination and time management are essential.

Ability to work independently with minimal supervision.

Willing to work evenings and weekends as required

A valid Class 5 driver¿s license (cannot be a graduated license) with proven good driving record (abstract required).
