Overview
We are seeking a proactive and experienced Bookkeeper/Office Administrator to join our privately owned office with a portfolio of commercial and industrial real estate. We pride ourselves on maintaining high-quality properties, building strong tenant relationships, and operating with professionalism, integrity, attention to detail and comfortable managing multiple priorities.
In this vital role, you will be responsible for managing financial records, maintaining accurate bookkeeping practices, supporting property management operations, and supporting daily office operations. Your expertise will ensure smooth financial workflows and contribute to the overall efficiency of our organization. This position offers an exciting opportunity to utilize your accounting skills while fostering a well-organized and productive work environment.
This is a full time in-office position that plays a key role in the day-to-day financial and administrative operations of our real estate portfolio. This position is not remote or hybrid.
Responsibilities
Bookkeeping and Accounting
- Manage and maintain accurate financial records using accounting software such as QuickBooks and Yardi.
- Handle accounts payable and accounts receivable processes to ensure timely payments and collections.
- Perform bank reconciliations regularly to verify account accuracy and identify discrepancies.
- Conduct account analysis and prepare reports to support budgeting and financial planning efforts.
- Reconcile accounts through detailed account and bank reconciliations, identifying and resolving discrepancies.
- Support office administration tasks including filing, data entry, scheduling, and correspondence management.
- Posting monthly rent and Tenant deposits and applying tenant payments.
Property Administration
- Maintain tenant files, lease documentation, and insurance certificates.
- Assist with tenant billing, CAM and tax recoveries, and lease administration.
- Coordinate vendor invoices and payment approvals.
- Track lease expiries, rent increases, and critical dates.
- Support property managers with administrative requirements.
- Maintain vendor and contractor records.
Office Management
- Manage office operations and administrative procedures.
- Coordinate office supplies, equipment, and service providers.
- Answer phones and respond to general inquiries.
- Prepare correspondence and maintain filing systems.
- Assist with special projects and operational initiatives.
- Support senior management with administrative tasks as required.
Qualifications
- Proven experience with accounting software such as QuickBooks and Yardi is essential.
- Experience working in commercial real estate is strongly preferred.
- Strong understanding of bookkeeping principles, including accounts payable, receivable, and bank reconciliation.
- Proficiency with Microsoft Excel, Outlook, Word, and other Microsoft Office applications.
- Excellent organizational skills with exceptional attention to detail with a focus on accuracy in financial recordkeeping and reporting.
- Ability to manage multiple tasks efficiently.
- Effective communication skills to collaborate across teams and support office functions.
Preferred Qualifications
- Experience with lease administration and supporting multiple commercial properties.
- Understanding of commercial leases, tenant recoveries, and property accounting.
- Experience working in a family office or privately owned real estate company is considered an asset.
