We are seeking a detail-oriented Administrative Assistant who can support daily operations while contributing to the creative side of the business.
Position Overview:
The Administrative Assistant will play a key role in keeping projects and office operations running smoothly. This position is ideal for someone who enjoys balancing administrative responsibilities with an interest in residential design and construction.
Key Responsibilities:
Administrative & Scheduling Support
- Coordinate and manage calendars for project managers, site supervisors, and leadership
- Schedule meetings, site visits, inspections, and subcontractors
- Maintain organized records of project timelines and updates
- Serve as a point of contact for clients, vendors, and trades
Accounts Payable & Invoicing
- Process accounts payable, including verifying and entering vendor invoices
- Prepare and issue client invoices in a timely and accurate manner
- Track payments, follow up on outstanding balances, and reconcile discrepancies
- Maintain accurate financial records and support basic bookkeeping functions
Office & Project Coordination
- Assist with document preparation, contracts, and purchase orders
- Organize digital and physical files related to projects and finances
- Support procurement of materials and liaise with suppliers as needed
Design Support (Optional/Preferred)
- Assist with organizing design selections, finishes, and client choices
- Coordinate with designers or clients on material selections and updates
- Maintain design libraries, samples, and mood boards
- Contribute ideas and support presentation materials when needed
Qualifications:
- 2+ years of administrative experience, preferably in construction or a related field
- Experience with accounts payable, invoicing, or basic bookkeeping
- Strong organizational and time management skills
- Proficiency in Microsoft Office (Excel, Word, Outlook) and accounting software (e.g., QuickBooks or similar)
- Excellent communication and interpersonal skills
- Interest in home design, interior finishes, or construction is an asset
