Fleet Analyst – Semi-Trailer Sales & Leasing

Reporting to our Fleet Manager, the Fleet Analyst will be responsible for ensuring the completion of all leasing administration, compiling analytics and ensuring compliance within the leasing department.
Responsibilities
Fleet Leasing & Rental Administration
- Prepare, process and maintain rental & lease contracts, billings, returns and licensing documentation
- Manage fleet licensing requirements including POAs, new plates, ownership transfers, and system updates
- Understand and administer the differences between rental vs. leased and leased-to-own programs, including licensing, contracts, mileage, repairs, and insurance requirements
- Prepare and distribute LTL (long term lease) contracts through DocuSign
Fleet Analytics
- Calculating fleet utilization, fleet mix by trailer type, repair costs by unit and customer
- Maintain Reefer maintenance contract analytics
- Calculate average age of fleet and other metrics as required
Fleet Inventory & System Management
- Track fleet inventory and verify yard audits
- Maintain accurate unit status updates within internal systems (Karmak)
- Update customer files, insurance certificates, and fleet records
Insurance and Compliance
- Monitor and maintain current customer insurance certificates; proactively follow up on expired documentation
- Maintain and update CVOR compliance records
- Coordinate annual inspection reporting, customer notifications, completion tracking, and certificate updates
Billing & Financial Coordination
- Manage monthly rental and leasing billings
- Process customer mileage updates, reefer hour reporting, and overage billings
- Track 407 charges, tolls, and fines and coordinate customer bill-backs alongside Accounts Payable
Qualifications
- Post-Secondary Degree or Diploma in accounting, supply chain, business administration or a related field
- Previous experience in leasing coordination, fleet administration, transportation, equipment rental, or a related administrative role
- Exceptional organizational skills with strong attention to detail and accuracy
- Ability to manage multiple deadlines and competing priorities
- Strong communication and follow-up skills
- Comfortable working with contracts, billing processes, compliance documentation, and customer reporting
- Experience with fleet management or ERP systems (Karmak experience is considered an asset).
- Proficiency with Microsoft Office and electronic document platforms such as DocuSign

Pay: $65,000.00-$75,000.00 per year
