We are currently looking for a friendly, organized, and dedicated Veterinary Receptionist (Client Care Representative) to join our CCR team!
Position Overview:
As a Veterinary Receptionist, you will be the first point of contact for clients, ensuring that every visit to our hospital is a positive and smooth experience, even during difficult situations. You will handle a variety of administrative tasks while maintaining a calm, professional, and friendly demeanor.
Please note that our hospital schedule is rotational shift work.
Key Responsibilities:
- Greet clients and their pets with a warm, friendly attitude and provide exceptional customer service.
- Answer phone calls and manage patient intake and discharge.
- Relay messages in a timely and professional manner, this includes answering client questions, with consultation with a Registered Veterinary Technician.
- Communicate effectively with pet owners, providing updates on their pets' conditions.
- Explain fees and charges to clients in a clear and transparent manner.
- Complete scheduled and end of day close including balancing cash consisting of counting cash, settling debit machine, and printing end of day reports.
- Ensure the waiting area is clean, comfortable, and organized for clients and their pets.
- Assist in maintaining inventory of consumables for the coffee station and retail space.
- Inform and assist clients with financing and insurance options.
- Process payments, including invoicing, billing, and insurance submissions.
- Maintain accurate and up-to-date client and pet records in the practice management system.
- Ensure compliance with hospital policies, procedures, and confidentiality standards.
- Adhere to safety protocols and infection control procedures to create a safe working environment.
- Offer emotional support and empathy to clients during challenging situations.
- Perform additional duties as required to support the efficient operation of the hospital and the well-being of our animal patients.
Qualifications:
- Previous experience in a veterinary or customer service environment is preferred but not required.
- Excellent communication skills, both in person and on the phone.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Ability to remain calm and composed in a fast-paced or high-pressure environment.
- Strong attention to detail and ability to maintain accurate records.
- Ability to handle sensitive or emotional situations with empathy and professionalism.
- High school diploma or equivalent; additional education or certifications are an asset.
