Junior Project Coordinator / Construction Administrator

Position Overview
Earth-Crete Ontario Inc. is seeking a motivated and organized Junior Project Coordinator / Construction Administrator to support our growing heavy civil and municipal infrastructure operations.
This role is ideal for someone looking to build a long-term career in the construction industry while gaining hands-on experience with project coordination, contract administration, scheduling, procurement, documentation, and field support. The successful candidate will work closely with Project Managers, Site Supervisors, Foremen, subcontractors, suppliers, and municipal clients on roadway, underground servicing, site servicing, and infrastructure projects throughout Eastern Ontario.
Key Responsibilities
- Assist Project Managers with daily project administration and coordination
- Track project schedules, quantities, production, and progress updates
- Coordinate subcontractors, suppliers, material deliveries, and equipment logistics
- Prepare and maintain project files, reports, and correspondence
- Assist with tender submissions, quotations, and bid documentation
- Support permit applications, locates, inspections, and utility coordination
- Attend project meetings and prepare meeting minutes
Construction Administration
- Prepare and track purchase orders, invoices, and change orders
- Review and organize daily time sheets, equipment reports, and delivery slips
- Assist with progress billings and monthly invoicing
- Maintain accurate project documentation and records
- Support contract administration and compliance with specifications and drawings
- Assist with document control for RFIs, submittals, and shop drawings
Field & Site Support
- Conduct occasional site visits to monitor progress and collect project information
- Assist with traffic control documentation and Book 7 requirements
- Coordinate communication between field crews and office staff
- Support safety documentation and site compliance requirements
- Help resolve day-to-day project issues in a professional and timely manner
Qualifications
- Diploma or degree in Civil Engineering Technology, Construction Engineering, Construction Management, or related field preferred
- Previous construction or heavy civil experience considered an asset
- Strong organizational and multitasking abilities
- Excellent communication and problem-solving skills
- Ability to work in a fast-paced construction environment
- Proficient with Microsoft Office (Excel, Word, Outlook)
- Experience with construction management software is an asset
- Valid Ontario Class G driver’s license required
Preferred Experience
Experience or familiarity with:
- Municipal infrastructure projects
- Road reconstruction and underground servicing
- Heavy equipment and construction operations
- Quantity tracking and progress reporting
- Contract administration and project documentation
- Ontario Book 7 traffic control requirements
