Mount Royal University’s Faculty of Continuing Education has provided high quality education to the Calgary community and beyond for more than 75 years. Serving more than 30,000 students per year, we offer a suite of Ministry of Advanced Education approved programs (occupational programs in massage, personal fitness trainer, and funeral education; academic upgrading; and our Transitional Vocational Programming), over 60 programs and 350+ courses to support professional and personal development in a wide range of topics, and a broad range of music and speech arts programming through our Conservatory. Our courses cover a diversity of topics, including but not limited to business, technology and health. These courses are offered in a variety of formats on campus, online, in the workplace, and in the community.
The Operational Lead is responsible for the end-to-end operational success of the Custom Training unit to support the attraction and retention of clients and partners. Reporting to the Senior Lead and working closely with other Custom Training team members, this role ensures the seamless and effective delivery of professional development programs, managing the training project lifecycle from initial client inquiry and proposal drafting to instructor and course coordination and post-session evaluation. The Operational Lead balances administrative precision with high-touch stakeholder management to uphold the institution and faculty’s reputation for excellence.
- Attend regular report and team meetings to ensure all relevant custom training activities are functioning smoothly and effectively.
- Oversee and track the progress of custom content creation as needed, ensuring SMEs meet client objectives and project milestones. Includes creating, administering, and tracking course developer agreements. Collaborate with the Senior Lead and Curriculum Development team as required on a project by project basis.
- Oversee the custom training logistics for the full life cycle of each custom training project, including those "day-of" so that the clients/participants are organized and provided for in advance of their training, whether in-person (catering, room bookings, materials) or virtual (LMS setup, Google Meet moderation, etc.). Collaborate with other Custom Training team members and other institutional personnel as needed to ensure all training goes smoothly.
- Review training materials for brand consistency, literacy, and professional formatting before they reach the client.
- Act as the primary point of contact for corporate leads, managing high-volume email, phone inquiries, and meetings with professionalism. Ensure accuracy and appropriateness of all information.
- Identify, onboard, and maintain a roster of qualified subject matter experts (SMEs) and contract instructors/facilitators.
- Create, administer, and track instructional contracts.
- Coordinate program and project budgets, process invoices, complete journal entries, track profit margins per session, and prepare financial reports for the faculty as needed.
- Utilize institutional and faculty systems to track client and project data. Follow faculty storage and institutional retention policies.
- Identify bottlenecks in the administrative workflow. Collaborate with the team to implement solutions to increase efficiency.
- Draft compelling quotes,formal proposals,and letters of agreement based on client needs and internal pricing models.
- Maintain ongoing relationships with past clients / participants to facilitate repeat business and ensure long-term satisfaction. Includes promptly and effectively completing project tasks and appropriately addressing concerns / applying “lessons learned”.
- Regularly review and maintain as needed all related marketing materials and webpages
- Three or four year bachelor degree or equivalent
- 2 - 3 years of related professional experience in similar role
- Experience working in a post-secondary or adult learning environment preferred
- Effective time and project management is essential to this role.
- Excellent intercultural, interpersonal, communication, and administration skills
- Technical savvy and adaptability (MS suite, Google Workspace, D2L, and other systems/software within the institution and/or role)

- High literacy and numeracy skills
