ROLE
We are seeking a hands-on and detail-oriented administrative assistant to join our team. The successful candidate will support the Firm's accounting and administrative staff with day-to-day office accounting, administration, file management, and running tasks. You will join and be trained in our accounting department to fulfill both accounting and administration tasks alongside our administrative staff. The ideal candidate will be organized, reliable, detail-oriented, and comfortable working within professional environment.
KEY RESPONSIBILITIES
- Assisting the accounting department with day-to-day tasks including credit card payment processing, invoice posting, and cheque request facilitation.
- Filling in for reception as needed for absence relief and end of day.
- Filing in for office runner as needed for absence relief and busy periods which may include driving office vehicle and own vehicle from time to time.
- Assisting with file management including file closing and transfer of files to and from off-site storage.
- Assisting with office organization, general administrative tasks, and stocking of supplies.
- Posting invoices into the accounting system and supporting the accounting team as required.
- Scanning, saving, and filing documents; initial filing opening and closing upon completion.
- Performing related duties as needed from time to time.
PREFERRED QUALIFICATIONS
- A minimum of 1 year’s work experience in an office setting in an administrative role.
- Training in accounting, bookkeeping, office administration, or a related filed.
- Class 5 driver’s licence with a clean 10 year driver’s abstract and a reliable vehicle.
- Proficiency with Microsoft Office and particularly Excel.
- Familiarity with Unity Accounting, ESILaw, Sage, or similar accounting software.
- Experience with a multi-line switchboard.
- Strong communication and organizational skills and a strong attention to detail.
- Ability to work within a busy team and prioritize urgent tasks as needed.
- Comfortable managing a steady volume of invoices per month.
- Quick learner with good punctuality and attendance.
