Rock Construction & Mining is seeking a detail-oriented Travel Coordinator & Accounts Payable Specialist to support our drilling and blasting operations across active project sites. This dual-function role is essential to keeping our field crews (ranging from 20-50 personnel) mobilized efficiently and our financial obligations managed accurately. The ideal candidate is highly organized, comfortable juggling shifting priorities, and able to work effectively in a fast-paced construction and mining environment.
KEY RESPONSIBILITIES:
- Coordinate travel arrangements for field crews, including flights, accommodations, camp logistics, and ground transportation to and from remote project sites
- Organize crew rotation schedules in coordination with project supervisors and site management
- Maintain up-to-date travel logs, itineraries, and emergency contact information for all mobilized personnel
- Source cost-effective travel and lodging options while maintaining service quality for remote and camp-based sites
- Process invoices, code expenses, and enter accounts payable transactions in a timely and accurate manner
- Reconcile vendor statements and resolve discrepancies with suppliers and internal departments
- Maintain organized AP records and supporting documentation
- Assist with month-end close processes related to accounts payable
- Liaise with vendors, hotels, airlines, and camp operators to negotiate rates and resolve booking issues
- Support project and estimating teams with mobilization cost tracking and travel budgeting
- Ensure compliance with company travel and expense policies
- Communicate proactively with field crews and management regarding travel changes or delays
- Assist with other administrative and finance duties as required
POSITION REQUIREMENTS:
Qualifications and Experience
- 2+ years of experience in travel coordination, logistics, or accounts payable, ideally in construction, mining, or a related field
- Experience coordinating travel for remote or camp-based crews is a strong asset
- Working knowledge of accounts payable processes and basic accounting principles
- Proficiency with MS Office (especially Excel) and accounting/ERP software
- Excellent organizational skills with the ability to manage multiple schedules and deadlines simultaneously
- Strong communication skills, both written and verbal
- Ability to remain calm and adaptable when travel plans change on short notice
- High level of accuracy and attention to detail
- Valid driver's license considered an asset
Pay: $26.00-$29.00 per hour
