What We Do
We are an expense management firm which means we work with clients to devise strategies and solutions that will help contain, lower and/or optimize their expenses within 3 main areas:
1. Utilities – electricity and natural gas including retail contract procurement, delivery charge reviews and energy efficiency reviews.
2. Credit card processing – providing POS solutions that offer businesses state of the art features at a price that is fair and reasonable.
3. Cell phone management – using our pooled data management approach, we provide affordable cell phone plans for businesses and personal use.

About the Role:
The Client and Contracts Coordinator supports internal teams and external partners by coordinating client onboarding, maintaining accurate records, and assisting with operational processes. This role plays a key part in ensuring a smooth client experience by managing information, supporting service delivery, and helping facilitate agreements and service arrangements.
Key Responsibilities
Client & Operational Support
- Support client onboarding, transitions, and ongoing account updates.
- Assist Sales and Operations teams with client communications, status updates, and service changes.
- Maintain accurate and up-to-date client records across internal systems.
Data Management & Administration
- Collect, review, and verify client information and documentation for completeness and accuracy.
- Enter, organize, and manage data within internal systems, spreadsheets, and tracking tools.
- Research, compile, and maintain client and service-related information.
- Prepare reports, summaries, and supporting documentation as needed.
Coordination & Process Support
- Coordinate service arrangements and assist with documentation related to client agreements.
- Liaise with external suppliers or partners to gather information, resolve issues, and support service delivery.
- Track progress of client requests and follow up on outstanding items.
- Assist with operational workflows, process improvements, and project-based initiatives.
Cross-Functional Support
- Collaborate with Sales, Operations, and Finance teams to ensure seamless execution of client-related activities.
- Provide backup support for various operational tasks as needed.
- Contribute to a positive team environment and support continuous improvement efforts.
Qualifications & Skills
- High school diploma required; post-secondary education in business or a related field is an asset.
- Experience in an office, administrative, or client service role preferred.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent communication skills (phone, email, and writing).
- High attention to detail with a focus on accuracy and quality.
- Strong proficiency in Microsoft Office and comfort with web-based systems.
- Ability to work both independently and collaboratively within a team environment.
