Position Summary
The Human Resources Manager is responsible for managing the employee lifecycle and ensuring a positive, compliant, and engaging workplace experience. This role serves as the primary point of contact for HR-related matters, overseeing onboarding, offboarding, employee documentation, policy administration, training coordination, employee engagement initiatives, and HR compliance.
The HR Manager partners closely with managers across the organization to support employee development, maintain consistent HR practices, and foster a strong company culture. This position is not responsible for payroll processing or benefits administration.
Key Responsibilities
Employee Onboarding & Offboarding
- Manage the full onboarding process for all new hires.
- Prepare and distribute new hire documentation and employment packages.
- Coordinate orientation and ensure a positive first-day experience.
- Schedule and facilitate new employee onboarding sessions.
- Ensure all required employment documentation is completed and filed.
- Coordinate employee departures, including exit documentation, equipment coordination, and offboarding checklists.
- Conduct or coordinate exit interviews and identify trends for leadership.
Employee Training & Development
- Facilitate new employee orientation and company onboarding training.
- Coordinate mandatory company training and policy education.
- Track completion of required employee training.
- Assist departments in coordinating internal learning and development initiatives.
- Maintain training records and compliance documentation.
HR Policies & Compliance
- Maintain and update employee policies and handbooks.
- Distribute new or revised company policies to employees.
- Ensure all employees acknowledge receipt of policies and maintain signed records.
- Monitor policy compliance across the organization.
- Assist leadership in maintaining compliance with employment legislation and internal policies.
- Recommend improvements to HR policies and procedures.
Employee Relations
- Occasional travel to other firms within the organization is required to build employee relationships and support HR initiatives.
- Serve as a trusted HR resource for employees and managers.
- Attend disciplinary meetings as an HR representative to witness discussions and ensure consistency and procedural fairness.
- Document employee relations matters accurately and confidentially.
- Support managers with performance improvement documentation and HR best practices.
- Assist in conflict resolution and employee concerns where appropriate.
Employee Records & HR Administration
- Maintain accurate, confidential employee personnel files.
- Ensure employee records remain current and compliant.
- Manage employment contracts, letters, policy acknowledgements, performance documentation, and other HR records.
- Prepare employment verification letters and other HR correspondence.
- Maintain HR tracking systems and employee databases.
- Monitor completion of probationary reviews and annual performance review documentation.
Employee Engagement & Culture
- Develop initiatives that promote employee engagement and a positive workplace culture.
- Coordinate employee recognition programs and appreciation initiatives.
- Assist with company events, celebrations, and wellness initiatives.
- Gather employee feedback through surveys and engagement activities.
- Recommend programs that improve employee satisfaction, retention, and workplace morale.
- Promote company values and foster an inclusive and collaborative work environment.
Recruitment Support
- Assist hiring managers with recruitment coordination as needed.
- Conduct interviews after they have been screened and reviewed by the Recruitment team.
- Review and approve offer letters and employment documentation.
- Ensure a smooth transition from candidate acceptance through onboarding.
Qualifications
- Post-secondary education in Human Resources, Business Administration, or a related field.
- Certified Human Resources Professional (CHRP) designation is considered an asset.
- 2-3 years of progressive Human Resources experience.
- Strong knowledge of employment legislation and HR best practices.
- Experience supporting employee relations and workplace investigations is considered an asset.
- Excellent interpersonal and communication skills.
- Strong organizational and administrative abilities.
- Ability to maintain strict confidentiality.
- Highly detail-oriented with excellent follow-through.
- Proficient in Microsoft Office and HRIS systems.
