We are seeking a highly organized, proactive, and detail-oriented Client Communications & Office Coordinator to support our growing team. This role is ideal for someone who excels in customer communication, administration, and ensuring day-to-day operations run smoothly.
Key Responsibilities:
- Answer incoming phone calls professionally and efficiently.
- Respond promptly to customer inquiries through phone, email, Facebook Messenger, Instagram, and other communication channels.
- Manage and monitor Meta (Facebook & Instagram) message conversations to ensure timely follow-up and conversion opportunities are not missed.
- Maintain excellent written communication standards across all customer interactions.
- Schedule consultations, appointments, site visits, and meetings.
- Coordinate communication between clients, sales representatives, installers, and management.
Customer Service Excellence
- Provide a positive and professional first impression for all clients.
- Follow up with leads and existing customers as required.
- Ensure all customer inquiries are handled accurately and professionally.
- Identify opportunities to improve communication workflows and customer experience.
- Go above and beyond to ensure no client inquiry or communication falls through the cracks.
Qualifications

- Professional phone etiquette and customer service skills.
- High attention to detail and accuracy.
- Ability to multitask and prioritize responsibilities effectively.
- Self-motivated, dependable, and proactive.
- Comfortable using Facebook, Instagram, Messenger, email, and basic office software.
- Previous administrative, customer service, office coordination, or communications experience is preferred.
