Dexter Inn & Suites is a 211 unit facility located in Labrador City at the heart of the Labrador Trough “Iron Ore Belt", and we are looking for an individual to join our team as an Administrative Assistant.
Reporting directly to the Dexter Inn & Suites Deputy Manager on a daily basis, the Administrative Assistant is responsible for providing administrative support in order to ensure effective, efficient and accurate administrative operations covering all administrative duties within the Dexter Inn & Suites. Furthermore, this position will be cross trained to provide cover for the Hotel Reception and the Travel Coordinator.
Primary Duties and Responsibilities:

Accounts payable, accounts receivable and POS, perform general accounting functions.

Annotate any discrepancies on the delivery slips.

Answering incoming telephone calls from prospective and existing guests.

Assigning rooms and suites to guests.

Assisting guests with hotel reservations.

Assisting with guest requests and complaints,
-
Coding Purchase Orders to the correct costing center.
-
During receiving bulk food orders all aspects of OS&D (Over, Short, and Damaged) items are to be reported.

Issue Purchase Orders through the electronic Purchase Order System.

Manage Registered Invoices within the Company’s ERP System.

Manage, organize, and update relevant data using database applications.

Processing credit card transactions for lodging and other hotel costs.

Receiving Purchase Orders into the system for payment by the Accounts Payable Department.

Track costs and enter them against the correct phases of contracts.

Working with the Head Chef, provide administrative support during receiving bulk food orders.

Adhere to local and externally relevant health and safety laws and policies.

Assist with safety meetings as required.

Ensure appropriate priority given to HSE issues.

Ensure safety of fellow workers.

Any other duties as required.
Required Knowledge, Skills, Abilities, Education, and Experience:

University degree or college program in accounting or office administration or 3-5 years’ experience in an Administrative role

A high level of accuracy in preparing and entering financial information, an ability to maintain confidentiality concerning financial or personal information.

Utilize strong organization skills

High attention to detail and the ability to work in a fast-paced environment is essential

Lead and work as part of a team, while being able to work under extreme deadlines and pressure.

Able to use a computer effectively including Microsoft Office (Word, Excel, Power Point, and Outlook and knowledge of various Accounting Software)

Working Conditions:
The role requires working regular office hours, Monday to Friday, from 0800 to 1700. Daily use of a desktop or laptop computer is required. The employee must be able to make timely decisions when necessary and consistently meet established deadlines. Any escalated complaints must be reported to the Deputy Manager or Manager as soon as practical. Occasional work on public holidays may be required. The position requires constant interaction with Hotel Management and Staff as well as both internal and external customers wishing to stay at the Hotel.
