The Role
As our Receptionist/Administrator, you will play a crucial role in our daily operations. You will be the first point of contact for our clients and candidates both over the phone and in person while providing essential administrative support to our recruitment team.
Key Responsibilities
- Front Desk Excellence: Greet visitors, candidates, and clients with a warm, professional welcome.
- Communication Hub: Answer incoming calls, screen inquiries, and route them to the appropriate team member.
- Candidate Onboarding: Assist applicants with registration forms, verify IDs, and ensure compliance paperwork is accurately completed.
- Data Management: Input and update candidate profiles, resumes, and contact info in our Applicant Tracking System (ATS).
- Office Coordination: Maintain a clean, organized reception area and interview rooms; manage office supplies and incoming/outgoing mail.
- Recruitment Support: Schedule interviews, administer basic skills testing, and help coordinate job fair materials as needed.
What We Are Looking For
- Experience: 1–2 years of experience in a reception, administrative, or customer service role (experience in a staffing agency or HR environment is a major asset).
- Language: Excellent verbal and written English communication skills.
- Tech-Savvy: Proficient in MS Office (Word, Excel, Outlook) and comfortable learning new software/ATS platforms quickly.
- Skills: Exceptional organizational skills, strong attention to detail, and the ability to juggle multiple tasks without breaking a sweat.

Schedule:
- Monday to Friday, 8:30 AM – 5:00 PM (No weekends!)
Ability to Commute/Relocate:
- Woodbridge, ON: Reliably commute or planning to relocate before starting work (Required).
