Promedicare Wellness is an established psychological assessment and therapy practice dedicated to providing compassionate, evidence-based care. We are seeking a highly organized, detail-oriented, and professional Office Manager to oversee the daily administrative operations of our clinic and support our team of psychologists, therapists, and administrative staff.
Position Summary
The Office Manager will play a critical role in ensuring the smooth day-to-day operation of the clinic. This individual will be responsible for managing administrative processes, coordinating clinician schedules, maintaining clinical documentation standards, overseeing client communications, and supporting efficient clinic operations while maintaining strict confidentiality.
Key Responsibilities
- Coordinate and manage daily clinic operations.
- Schedule appointments and maintain clinician calendars.
- Manage bookings for psychologists, therapists, and other clinicians.
- Respond to phone calls, emails, and client inquiries professionally and promptly.
- Prepare, send, and track invoices and client payments.
- Process insurance and third-party billing as required.
- Review clinical files for completeness and ensure documentation is organized and accurately maintained.
- Maintain electronic and paper records in accordance with privacy legislation and clinic policies.
- Organize intake documentation, consent forms, and assessment materials.
- Coordinate clinician schedules and assist with appointment changes or cancellations.
- Monitor office supplies and order inventory as needed.
- Maintain organized administrative systems and workflows.
- Support onboarding and coordination of new clinicians and administrative staff.
- Assist with quality assurance and administrative compliance.
- Perform additional administrative duties as assigned.
Qualifications
Required
- Bachelor's degree from an accredited university.
- Minimum of 2 years of administrative experience, preferably in a healthcare, psychology, medical, or allied health setting.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- High level of professionalism, discretion, and confidentiality.
- Excellent attention to detail and ability to manage multiple priorities.
- Strong computer proficiency, including Microsoft Office and Google Workspace.
- Ability to work independently while collaborating effectively within a multidisciplinary team.
Preferred
- Experience working in a psychology, medical, rehabilitation, or mental health clinic.
- Experience with electronic medical records (EMR), practice management software, or scheduling systems.
- Familiarity with insurance billing and invoicing processes.
- Experience coordinating multiple clinicians' schedules.
