About the Role
The Administrative Assistant provides hands-on operational support to the HR & Safety Manager, with a strong focus on onboarding, training coordination, and safety program administration. This role is ideal for someone who understands field operations, values safety, and enjoys building clear, practical systems that help people succeed.
The successful candidate is organized, detail-oriented, and comfortable working in a fast-paced environment where priorities may shift quickly.
Key Responsibilities
HR & Workforce Development Support
- Support the HR & Safety Manager with employee onboarding and orientation processes.
- Coordinate and track required certifications, site orientations, and refresher training.
- Maintain accurate training matrices and workforce development records.
- Assist with workforce readiness initiatives to support field and operational needs.
Training & Safety Support
- Assist in developing, updating, and maintaining training materials, SOPs, and job aids.
- Help deliver toolbox talks, safety briefings, training sessions, and site orientations.
- Maintain digital and hard-copy training and safety records to ensure accuracy and compliance.
- Support the administration of safety programs and training compliance requirements.
Administrative Support
- Organize and maintain filing systems related to training, safety, and workforce records.
- Assist with reporting and documentation related to HR and safety initiatives.
- Support continuous improvement of training and workforce development processes.
What We’re Looking For:
- Comfortable supporting both HR and safety initiatives.
- Strong organizational skills with high attention to detail.
- Clear written and verbal communication skills.
- Ability to work collaboratively while managing independent tasks.
- Understanding of field operations, safety requirements, or training coordination is an asset.
- Proficiency with Microsoft Office (Word, Excel, Outlook); experience with DATS is an asset.
- Post-secondary certificate or diploma in Safety, Human Resources, or a related field, or equivalent experience is an asset.
- Flexibility to work weekends based on operational, training, or safety requirements.
