About the Role
As our Practice Manager / Patient & Culture Experience Leader you will oversee the daily operations of the clinic while creating an environment where both patients and team members feel supported, valued and cared for.
This is a leadership position that blends operations, team leadership, patient experience, and organizational excellence.
You'll work closely with the Practice Owner and leadership team to ensure the practice operates efficiently while maintaining the culture and values that make Mind's Eye unique.
Responsibilities
- Lead the day-to-day operations of the practice
- Support, coach and inspire the administrative team
- Create exceptional patient experiences from the first phone call through follow-up care
- Manage scheduling, workflow and clinic efficiency
- Help recruit, onboard and train new team members
- Maintain office systems, policies and standard operating procedures
- Coordinate team meetings and ongoing staff development
- Assist with HR administration and performance management
- Monitor key performance indicators and practice metrics
- Support marketing initiatives, community events and patient education
- Identify opportunities to improve systems and patient flow
- Work collaboratively with our doctors to ensure seamless patient care
Qualifications
We're looking for someone who brings both experience and heart.
Required:
- Minimum 3 years of leadership or office management experience
- Previous experience working in an optometry clinic (required)
- Strong understanding of optometric workflows, patient scheduling and insurance processes
- Experience supervising and mentoring team members
- Exceptional organizational and time management skills
- Strong communication and interpersonal skills
- High level of professionalism and emotional intelligence
- Comfortable learning new technology and software platforms
An asset:
- Experience with visual field testing, OCT, retinal imaging or pre-testing workflows
- Experience with electronic medical records (EMR)
- HR or recruiting experience
- Project management experience
- Interest in healthcare innovation or patient experience
