Role Summary:
The Assistant, Welcome Centre serves as the first point of contact for students, faculty, staff, alumni, visitors, donors, and community members. Acting as a central customer service resource for the university, this role provides reception, information, and administrative support through in-person, telephone, and electronic communications.
This position manages a high-volume welcome desk and main telephone line, responds to inquiries, directs individuals to appropriate resources, supports room booking and event operations, assists with merchandising and inventory management, and contributes to creating a welcoming and positive campus experience for all visitors.
Responsibilities:

Welcome guests and provide information regarding campus services, programs, events, and facilities.

Serve as the primary point of contact for students, faculty, staff, alumni, visitors, and community members.

Manage the university's main telephone line, including screening and directing calls and responding to inquiries.

Maintain Welcome Centre procedures, resources, and support materials.

Coordinate and manage room booking requests using the university's booking system and support academic scheduling activities, including classroom and examination bookings.

Liaise with departments, student organizations, and conference services regarding event and meeting requirements and assist with booking logistics, including room setup, security, catering, and related operational requirements.

Process merchandise sales and maintain inventory records and reconcile daily sales receipts.

Connect students with resources, services, events, and involvement opportunities and actively assist with initiatives that foster student engagement, belonging, and community.

Support events and activities that contribute to the student experience and campus culture.
Qualifications:

Post-secondary diploma or degree from an accredited institution, or an equivalent combination of education and experience.

Minimum one (1) years of experience in an administrative support, reception, customer service, or public-facing role.

Experience working in a post-secondary or educational environment is considered an asset.

Experience operating multi-line telephone systems and scheduling, ticketing, or inventory management software.

Demonstrated ability to manage multiple priorities and respond effectively in a fast-paced environment.

Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.

Exceptional customer service, communication, and interpersonal skills.

Strong organizational skills with a high degree of accuracy and attention to detail.

Ability to exercise sound judgment, maintain confidentiality, and build positive working relationships with diverse stakeholders.
