About Us
Arion Skin Laser is a cosmetic laser and medical aesthetics clinic in Vancouver offering advanced treatments for skin rejuvenation, laser hair removal, pigmentation, acne scarring, skin tightening, body contouring, cellulite, and wellness concerns.
We are looking for an experienced, polished, and highly organized receptionist and clinic coordinator to join our team in a full time, long term position.
This is not an entry level role. We are looking for someone with previous experience in reception, administration, client care, scheduling, or a similar professional front desk role. Experience in a clinic, medical aesthetics, spa, dental, medical, or wellness environment is strongly preferred.
About the Role
The receptionist is one of the most important roles in our clinic. You are often the first and last person a client interacts with, so the client experience must always feel warm, calm, professional, organized, and thoughtful.
This role involves managing the front desk, answering calls and emails, booking appointments, supporting the daily clinic schedule, processing payments, preparing client information, following up with clients, and helping the clinic run smoothly.
We are looking for someone who takes pride in excellent client care, has strong attention to detail, and can stay organized in a busy clinic environment.
Long Term Commitment and Reliability

Reliability is extremely important. Our clinic schedule depends on the receptionist being present, prepared, and punctual. This role is not suitable for someone who may frequently call in, cancel shifts on short notice, or have inconsistent availability.
Main Responsibilities
- Answer phone calls, emails, website inquiries, and text messages professionally
- Greet clients warmly and create a polished client experience
- Book consultations and treatments accurately
- Review the daily and next day schedule to make sure appointments are properly prepared
- Send appointment information, forms, pre care instructions, post care instructions, and follow up messages
- Collect payments and deposits when required
- Keep client notes and appointment details accurate
- Support providers with general clinic coordination and client preparation
- Track prepaid treatments, balances, packages, and follow ups
- Keep the reception area calm, clean, and organized
- Help maintain a smooth daily clinic flow
Attention to Detail Is Essential
This role requires strong attention to detail. Small mistakes can affect the client experience, appointment flow, payments, treatment preparation, and provider schedule.
The right candidate should naturally double check their work and take accuracy seriously, especially with:
- Appointment dates and times
- Client names and contact information
- Treatment details
- Pricing and payments
- Forms and consent documents
- Client notes and follow ups
- Provider, room, and equipment availability

Required Qualifications
- Previous reception, administrative, clinic, spa, dental, medical office, or professional client service experience required
- Strong written and verbal communication skills
- Comfortable using computers, email, and online booking systems
- Professional phone manner

- Reliable attendance and punctuality
- Ability to work independently and as part of a team
- Full time availability, including Saturdays

- Has no previous reception, administration, or client service experience
- Cannot commit to a full time, long term schedule
- Is not available to work Saturdays
- Has inconsistent availability
- May need frequent last minute schedule changes
- Struggles with multitasking or staying organized
- Does not enjoy detailed administrative work
- Does not naturally pay close attention to details
Schedule:
This is a full time position.
Clinic hours are:
Tuesday to Friday: 10 AM to 6 PM
Saturday: 10 AM to 5 PM
Saturday availability is a must.
