The Procurement Specialist is responsible for sourcing, negotiating, and managing supplier agreements that support Extendicare locations and SGP members. Working closely with suppliers, internal stakeholders, and partner organizations, the successful candidate will help drive value through strategic sourcing initiatives, contract management, and supplier performance oversight. The role also contributes to the development, implementation, and continuous improvement of procurement policies, procedures, and best practices.
This position will be based at our Head Office in Markham, Ontario. Extendicare offers a hybrid working environment.
Key responsibilities include:
Manage a portfolio of food and hospitality non-food contracts and product categories;
Lead RFx processes, including RFPs, RFQs, and RFIs, and prepare bid analyses and recommendations;
Analyze spend, pricing, case volume, and market trends to identify savings opportunities and support sourcing strategies;
Support supplier negotiations, contract renewals, optimization, and cost reduction initiatives;
Prepare and maintain contract documentation, including term sheets, pricing schedules, product lists, and product trial coordination;
Monitor supplier performance and contract compliance, identifying opportunities for continuous improvement;
Conduct supplier business reviews and maintain strong vendor relationships;
Coordinate with Sales, Operations, Finance, Legal, distributors, and suppliers to support program execution, issue resolution, and collection of incentives, and deliverables;
Collaborate with the Regional Director of Culinary Development to source innovative food products and ingredients that support seasonal menus, nutrition standards, and resident preferences;
Assist in resolving product quality, supply continuity, and service issues by coordinating with suppliers, distributors, and culinary teams;
Manage contract administration activities, including vendor onboarding, system maintenance, website updates, and member communication materials;
Support capital, redevelopment, and new-build projects as assigned;
Develop and analyze customer satisfaction surveys and other program performance metrics as required;
Perform other duties and responsibilities as assigned
What we’re looking for:
2–3 years of experience in procurement, category management, contract administration, sourcing, or supplier management;
Experience in foodservice, hospitality, healthcare, group purchasing, distribution, or multi-site procurement is considered an asset;
Member of the Canadian Society of Nutrition Management is considered an asset;
Knowledge of foodservice distribution, manufacturer product lines, and food category management is considered an asset;
College diploma or university degree in Business, Food and Nutrition, or a related field;
Strong analytical and Excel skills with the ability to interpret spend data, pricing files, and supplier performance metrics;
Demonstrated ability to negotiate and manage contracts from sourcing through implementation;
Ability to balance culinary quality with cost management, supply chain considerations, and contract compliance;
Strong business acumen with a strategic, solutions-oriented mindset;
Excellent written and verbal communication skills and the ability to prepare recommendations and present data to stakeholders;
Strong organizational, project management, problem-solving, and customer service skills;
Self-motivated with the ability to manage multiple priorities and work independently;
Proven ability to collaborate effectively with internal and external stakeholders;
Ability to travel as required around the GTA.
